What Can Odoo Replace? A Tool Consolidation Map and What Stays
What can Odoo replace? A map of the CRM, accounting, inventory, HR, helpdesk and eCommerce tools Odoo consolidates, what stays, and a migration order.
Most "Odoo replaces 16 apps" posts stop at the logo wall. They never say what the retired tools cost today or which one to switch off first. Our Odoo implementation services start with that map, because the order and the exceptions decide whether consolidation saves money.
This guide is for owners, CFOs and operations leads at companies with 10 to 250 staff who pay for six or more SaaS tools and want to know what Odoo is used for, what it can replace, and in what order. If you are retiring an old ERP instead, read our guide on legacy ERP replacement with Odoo.
What can Odoo replace in a typical SMB software stack?

Odoo can replace the nine tool categories most small and mid-sized companies pay for separately, because each category maps to an Odoo app that is already included in the subscription. The table is the consolidation map this article walks through.
| Tool category | Common standalone tools | Odoo app that replaces it | How fully it replaces |
|---|---|---|---|
| CRM and sales pipeline | HubSpot, Pipedrive, Salesforce | CRM, Sales | Fully for most SMB sales teams |
| Accounting and invoicing | QuickBooks, Xero, Zoho Books | Accounting, Invoicing | Fully where a fiscal localization exists |
| Inventory and order management | Cin7, TradeGecko successors | Inventory, Purchase | Fully for multi-warehouse SMBs |
| HR records and time off | BambooHR | Employees, Time Off, Recruitment | Fully for records; payroll depends on country |
| Online store | Shopify, WooCommerce | eCommerce, Website | Fully for B2B and catalog stores; partly for marketplace-heavy D2C |
| Helpdesk | Zendesk, Freshdesk | Helpdesk, Live Chat | Fully for SMB support teams |
| Project and task tracking | Asana, Trello | Project, Timesheets | Fully, with billing built in |
| E-signature | DocuSign | Sign | Fully for standard contracts and HR documents |
| Email marketing | Mailchimp | Email Marketing, Marketing Automation | Fully for lists under a few hundred thousand contacts |
The Odoo pricing page states that the Standard and Custom plans "include all apps for a single fee", and lists Sales, eCommerce, Sign, Website, Accounting, CRM, Inventory, HR, Project and POS among them. That single fee is why consolidation into Odoo changes the math.
The rest of this guide takes the map one category at a time, then covers what stays, the savings math and the migration order.
Which CRM tools does Odoo replace: HubSpot, Pipedrive or Salesforce?
Odoo CRM replaces HubSpot, Pipedrive and Salesforce for most SMB sales teams, and the win is not the pipeline view but what happens after the deal closes. A won opportunity becomes a quotation, a sales order, a delivery and an invoice without re-keying.
Pipedrive lists US$14 to US$79 per seat a month billed annually, and HubSpot's Starter Customer Platform lists a standard price of US$20 per seat a month. Neither includes accounting, stock or invoicing, so a five-seat sales team on either tool still pays for every other system here.
Where a standalone CRM still wins is deep marketing automation, enterprise territory management and very large contact databases. Our comparison of Odoo vs HubSpot marketing covers where HubSpot keeps an edge and how to run both for a transition period.
A practical rule: if your sales team lives in email sequences, keep the CRM one more year and connect it. If quotes, pricing rules and order status are the daily work, move CRM into Odoo first.
Can Odoo replace QuickBooks, Xero or Zoho Books for accounting?
Odoo Accounting replaces QuickBooks Online, Xero and Zoho Books for companies whose country has an Odoo fiscal localization, and it adds stock valuation, multi-company and purchase controls those tools lack. The question is less "can it" than "how much history to bring".
QuickBooks Online Plus lists US$140 a month for 5 users and Advanced US$340 for 25. Xero US lists US$27 to US$97 a month per organization. Zoho Books US lists US$15 to US$240 a month billed annually with 3 to 15 users included.
Odoo vs QuickBooks on price alone rarely decides anything. The deciding factor is one ledger for stock, sales and finance.
Real users hit the history question first. On the Odoo forum, one QuickBooks Online user wanted to keep historical transactions rather than start fresh and asked what order to import in. The thread also noted that third-party sync apps usually need Odoo.sh, not Odoo Online.
Our advice in most projects: bring opening balances, open items and the current fiscal year, and keep closed years as a read-only export. Our Xero to Odoo migration guide and QuickBooks to Odoo migration service show the data scope and cutover plan.
Which inventory, eCommerce and helpdesk tools does Odoo consolidate?
Odoo consolidates inventory tools like Cin7, stores built on Shopify or WooCommerce, and helpdesks like Zendesk or Freshdesk into the same database that already holds your products, customers and invoices. These three categories carry the most expensive subscriptions in a typical stack.
- Inventory: Cin7 Core lists US$349 to US$1,199 a month with 5 to 15 users and annual order caps. Odoo Inventory has no order cap, supports multiple warehouses, routes, barcodes and landed costs, and posts stock moves straight into Accounting.
- eCommerce: Shopify lists US$29 to US$299 a month billed yearly plus card fees. Odoo eCommerce shares products, prices and stock with the back office. Marketplace-heavy D2C brands often keep Shopify and sync it; see our guide to Odoo eCommerce integration with Shopify, WooCommerce and marketplaces.
- Helpdesk: Zendesk Suite Team lists US$55 per agent a month billed annually, and Freshdesk Growth lists US$19 per agent. Odoo Helpdesk gives each team its own pipeline, SLA policies, a website form and Live Chat, and a ticket can open a repair, a refund or a task on the customer's record.
The common thread is the customer record. In a separate-tools stack the same customer exists in the store, the helpdesk, the CRM and the accounting system, and each copy drifts. In Odoo there is one partner record, so a support agent sees open invoices and recent deliveries in one place.
Does Odoo replace HR, project, e-signature and marketing tools too?
Odoo replaces BambooHR for employee records and time off, Asana or Trello for project tracking, DocuSign for standard e-signatures and Mailchimp for email campaigns, with one caveat on payroll. These tools cost less per seat than the big three, but they add up and they rarely talk to finance.
| Tool you pay for today | List price (US, Nov 2026) | Odoo app | What you gain by moving |
|---|---|---|---|
| BambooHR Core | US$10 per employee a month; US$250 flat up to 25 staff | Employees, Time Off, Recruitment, Appraisals | Leave balances feed Payroll and Timesheets |
| Asana Starter | US$10.99 per user a month billed annually | Project, Timesheets | Tasks link to sales orders and bill by the hour |
| Trello Standard | US$5 per user a month billed annually | Project | Kanban plus deadlines, planning and invoicing |
| DocuSign Standard | US$30 per user a month, 100 envelopes a user a year | Sign | No envelope cap; sign from a quote, contract or HR record |
| Mailchimp Standard | From US$20 a month | Email Marketing, Marketing Automation | Segments built on real purchase and ticket data |
On signatures, Odoo's documentation states that documents signed with the Sign app are considered legally valid in the European Union and the United States and meet requirements in most countries. For qualified signatures or regulated sectors, check your local rules before retiring DocuSign.
On payroll, Odoo's Employees app replaces BambooHR records in any country. Running payroll inside Odoo is a different question, covered next.
What does Odoo not replace well?
Odoo does not replace payroll outside its documented localizations, automated 3PL-grade warehouse systems, CAD-driven PLM, enterprise BI platforms, or your bank and tax portals, and pretending otherwise is how consolidation projects fail. Keep these, and connect them.
- Payroll in unsupported countries: the Odoo 20 documentation lists payroll localizations for 25 countries, including India, the US, the UAE, Saudi Arabia, Belgium, Mexico and Kenya. If your country is not on the list, keep your payroll provider and post the journal entries into Odoo Accounting.
- Advanced WMS: Odoo handles multi-warehouse, barcode, batch picking and putaway rules well. Conveyor, robot and voice-picking integrations at 3PL scale still belong to a dedicated WMS feeding Odoo.
- PLM and CAD: Odoo PLM manages engineering change orders and BOM versions. It does not replace CAD or a design-data vault; it receives the released BOM.
- Enterprise BI: Odoo's reporting, Spreadsheet and dashboards cover most operational questions. Cross-system data warehouses and heavy statistical modeling still need a BI layer reading from Odoo.
- Banking, tax and government portals: bank feeds and e-invoicing connectors live in Odoo, but the bank, the tax authority and e-invoicing platforms stay where they are.
- Industry vertical software: laboratory, clinical, legal case or property management systems with regulatory certification usually stay and integrate.
One more constraint shapes the list. Odoo Online is incompatible with custom modules and Odoo Apps Store modules, so a consolidation that needs a third-party connector or custom code needs the Custom plan on Odoo.sh or on-premise.
Our Odoo integration services build the links for the tools that stay.
How much does replacing multiple software with Odoo save?
For a 25-person distributor, replacing eight separate tools with Odoo cuts license spend from roughly US$1,190 to US$445 a month in this illustrative example, before counting hours saved on re-keying. The figures use US list prices from vendor pricing pages in November 2026 and are not a quote.
| Line item | Current stack (monthly, list) | Odoo equivalent (monthly, list) |
|---|---|---|
| CRM: HubSpot Starter, 5 seats at US$20 | US$100 | Included |
| Accounting: QuickBooks Online Plus, 5 users | US$140 | Included |
| Inventory: Cin7 Core Standard, 5 users | US$349 | Included |
| HR: BambooHR Core flat rate, up to 25 staff | US$250 | Included |
| Helpdesk: Zendesk Suite Team, 3 agents at US$55 | US$165 | Included |
| Projects: Asana Starter, 10 users at US$10.99 | US$109.90 | Included |
| E-sign: DocuSign Standard, 2 users at US$30 | US$60 | Included |
| Email: Mailchimp Standard | US$20 | Included |
| Odoo Standard: 10 full users at US$31.10 | n/a | US$311.00 |
| Odoo Light Users: 15 employees at US$8.90 | n/a | US$133.50 |
| Total per month | US$1,193.90 | US$444.50 |
The license gap is about US$749 a month, or roughly US$8,990 a year. If this company needs Studio, the external API or Odoo.sh hosting, the Custom plan at US$61.00 per user raises the Odoo side to about US$743.50 a month, which still saves about US$5,400 a year.
Implementation is the other side of the ledger. Our published range for a small Odoo project is US$3k to US$9k over 4 to 8 weeks, and US$9k to US$27k over 8 to 14 weeks for a mid-size one. An illustrative US$12,000 project for this company pays back in about 16 months on license savings alone.
The Light User line is easy to miss. Odoo's pricing terms count any active employee record not linked to a full user as a Light User, so a 25-person company with 10 full users budgets 15 Light Users at US$8.90. Run your own numbers in our Odoo project estimate tool before you commit.
Odoo vs separate tools: when is best-of-breed still the right call?
Separate tools still win when one function is your competitive edge, when a tool carries regulatory certification Odoo lacks, or when the team using it is large and the rest of the company is small. The all in one business software argument is strong, but it is not universal.
- Sales-led SaaS companies: a 40-person sales team living in HubSpot sequences with a 5-person finance team should move finance to Odoo and keep HubSpot, at least for a year.
- Marketplace-first D2C brands: if 70% of revenue comes through Shopify apps and marketplace connectors, keep the storefront and make Odoo the stock and finance back end.
- Regulated functions: payroll in an unsupported country, clinical systems and audited e-invoicing platforms stay until Odoo supports them locally.
- Heavy analysts: a finance team running Power BI models over five data sources keeps the BI layer and points it at Odoo.
The honest test is a two-year view. Count the tools you would still pay for after consolidation, add Odoo's price, and compare with today's stack. Our ERP comparison hub and our guide to ERP system examples help if Odoo is one of several candidates.
In what order should you migrate tools into Odoo?
Migrate accounting and master data first, then sales and stock, then support, HR and marketing, and switch off exactly one tool per phase. This order keeps money accurate from day one and gives every later phase a clean customer and product list to build on.
- Master data and accounting (weeks 1 to 6): load the chart of accounts, customers, vendors, products, opening balances and open items. Run one month in parallel with QuickBooks or Xero, then close it.
- Sales and CRM (weeks 4 to 8): import open opportunities and the last 12 months of won deals. Sales reps start quoting in Odoo; the old CRM becomes read-only.
- Purchase and inventory (weeks 6 to 12): count stock, load quantities and costs, set reorder rules. Cin7 or the spreadsheet stops the day after the count is posted.
- eCommerce (weeks 8 to 14): either rebuild the store in Odoo eCommerce or connect Shopify and let Odoo own stock and invoicing.
- Helpdesk and projects (weeks 10 to 14): move open tickets and active projects only. Closed history stays in an export.
- HR, Sign and email marketing (weeks 12 to 16): employee records, leave balances, signature templates and mailing lists come last because they depend on everything above.
Two rules make this work. First, never run two systems of record for the same data for more than one closed month. Second, migrate data with external IDs so re-imports update records instead of duplicating them.
Which industries gain most from Odoo tool consolidation?
Distributors, light manufacturers, multi-channel retailers and services firms gain the most, because their separate tools all touch the same products, customers and invoices. The table shows the usual pain and the Odoo approach by sector.
| Industry | Pain or cost driver | Odoo approach | How iVentureTeam helps |
|---|---|---|---|
| Wholesale and distribution | Cin7 plus QuickBooks plus a CRM, stock drifting between them | Inventory, Purchase, Sales and Accounting on one ledger | Stock count, route design, opening balances |
| Light manufacturing | Spreadsheet BOMs, Trello for jobs, separate accounting | Manufacturing, Project, Accounting with work-order costing | BOM cleanup, routing setup, costing review |
| Retail and eCommerce | Shopify, POS, helpdesk and accounting each with its own customer list | eCommerce, POS, Helpdesk and Accounting on one partner record | Channel connectors, stock ledger, returns flow |
| Professional services | Asana, Harvest-style timesheets, DocuSign and Xero | Project, Timesheets, Sign and Accounting with billing rules | Billing rules, rate cards, portal setup |
| SaaS and subscriptions | Website CMS, CRM and billing tool run by hand | Website, CRM, Sales and Subscriptions | Pricing engine, renewal logic, analytics tags |

Tool consolidation case study: DataTile
A UK survey-data platform moved its website, lead pipeline and subscription billing from WordPress, spreadsheets and inbox threads onto one Odoo database in 12 weeks. DataTile is a SaaS and market research technology company.
Before the project, DataTile's public site ran on an aging WordPress install, there was no CRM, and inquiries were tracked by hand so follow-ups slipped. Tiered pricing, progressive discount tables and per-customer financial-year billing cycles were managed outside any system.
iVentureTeam rebuilt the site as responsive Odoo Website templates, connected the Contact Us and Try for Free forms directly to Odoo CRM so every inquiry creates a lead, and deployed Odoo Live Chat as a second capture channel.
In Sales and Subscriptions we built progressive-discount logic driven by product quantity, and renewal logic that aligns each invoice cycle to the customer's own financial year.
DataTile now runs website, lead pipeline, quoting and subscription billing from one Odoo database, with GA4 and Google Tag Manager feeding campaign decisions. Read the full DataTile Odoo website, CRM and subscriptions case study.
The bottom line on what Odoo can replace
Odoo can replace your CRM, accounting, inventory, helpdesk, project, e-sign and email marketing tools, and it should not replace payroll in unsupported countries, 3PL-grade WMS, CAD-driven PLM, enterprise BI or your bank and tax portals. The savings are real when the map is honest.
Start with the list of tools you pay for, mark each one replace, keep or connect, and price two years both ways. Then migrate in the order above, one tool per phase, and you get one database without a second mess.

What does Odoo not do well?
+
Odoo does not run payroll outside its documented localizations, does not replace 3PL-grade warehouse automation, CAD or design-data vaults, or enterprise BI platforms. Keep those systems and connect them to Odoo through supported APIs.
Is Odoo an all-in-one ERP?
+
Yes. Odoo's Standard and Custom plans include all apps for a single per-user fee, with Sales, CRM, Accounting, Inventory, HR, Project, Website, eCommerce, Sign and POS sharing one database. The One App Free plan covers a single app for unlimited users.

+
Odoo Standard lists US$31.10 per user a month billed yearly and Light Users US$8.90. In an illustrative example, a 25-person distributor paying about US$1,190 a month for eight tools could run the same functions in Odoo for about US$445 a month.
Which tool should I migrate into Odoo first?
+
Accounting and master data first, because every later phase needs clean customers, products and balances. Then sales and CRM, then purchase and inventory, then eCommerce, then helpdesk and projects, and finally HR, Sign and email marketing.
Does Odoo replace payroll software?
+
Only in countries with an Odoo payroll localization. The Odoo 20 documentation lists 25 countries, including India, the US, the UAE and Saudi Arabia. Elsewhere, keep your payroll provider and post the payroll journal entries into Odoo Accounting.
