Odoo vs Exact Online: Features, Cost and When SMEs Should Switch
Odoo vs Exact Online for SMEs: editions, features, 2026 pricing, fit by company size, signs it is time to switch, and the Exact to Odoo migration path.
Most Odoo vs Exact Online articles stop at "Odoo is flexible, Exact is Dutch". Buyers need what each edition includes, what both cost over three years, and what moving involves. Our Odoo migration services start with that honest scoping, so this guide does too.
This comparison is for owners, finance leads and operations managers at SMEs in the Netherlands, Belgium and the UK who run Exact Online or are weighing it against Odoo. If you are on Exact Globe, read our guide to the Exact Globe Next end of life and the move to Odoo.
What is Exact Online and who is it built for?
Exact Online is the cloud accounting and ERP product of Exact, a Delft-based software company founded in 1984, built first for small businesses and their accountants in the Netherlands and Belgium. Exact says around 675,000 companies use it.
Exact's own factsheet aims Exact Online at companies with fewer than 25 employees. It is sold as editions, each with accounting and CRM included, plus packages for trade, manufacturing, construction and services. Exact's company history also covers Globe and other products for larger firms.
| Exact Online edition | What it covers | Closest Odoo apps |
|---|---|---|
| Accounting (Boekhouden) | Bookkeeping, bank feeds, invoicing, CRM | Accounting, Invoicing, CRM |
| Accountancy | Practice management for accounting firms | Accounting (Accounting Firms mode) |
| Trade (Handel) | Orders, purchasing, stock, reorder advice | Sales, Purchase, Inventory |
| Manufacturing (Productie) | Costing, planning, shop orders, BOMs | Manufacturing, Quality, PLM |
| Time and Billing (Uren en Facturen) | Timesheets, invoicing, CRM | Timesheets, Project, Invoicing |
| Project Management | Project insight, billable hours, budgets | Project, Timesheets, Accounting |
| HR and Payroll | Leave, contracts, Dutch payroll | Employees, Time Off, Payroll |
These are separate editions. A company that trades, makes things and runs projects ends up stacking editions and add-ons, which is where the comparison with Odoo gets interesting.
How do Odoo and Exact Online compare at a glance?

Odoo is one modular ERP on a single database with one per-user price, while Exact Online is a set of accounting-centred editions priced per administration. The table sums up the differences buyers ask about most.
| Factor | Odoo 20 | Exact Online |
|---|---|---|
| Product model | One database, all apps included | Editions per administration, add-ons on top |
| Pricing | Per user per month, all apps | Per edition per month, users included then extra |
| Home markets | Global, with Dutch and Belgian localizations | Netherlands and Belgium, plus UK, US, Germany |
| Manufacturing | MRP, work orders, quality, PLM, maintenance | Costing, shop orders, single or multi-level BOM |
| Multi-company | Built in on the Custom plan | Multiple administrations, limited consolidation |
| Customization | Studio plus Python modules | Settings and App Center integrations |
| Hosting | Odoo Online, Odoo.sh or on-premise | Exact cloud only |
| API | Included in the Custom plan, JSON-2 in Odoo 20 | REST API with per-company call limits |
| eCommerce and POS | Native website, shop and POS apps | Through third-party connectors |
Neither product is "better". Exact Online is deeper on Dutch accountant collaboration and lighter to start. Odoo covers far more of the business and scales with users rather than editions.
Exact Online vs Odoo features: finance, operations and people
On core bookkeeping the two are close, but Odoo pulls ahead as soon as you need operations, manufacturing depth, projects and HR in the same system. Here is how the main areas compare.
| Area | Exact Online | Odoo 20 |
|---|---|---|
| Accounting | Dutch and Belgian bookkeeping, bank feeds, accountant portal | Auto reconciliation, bill line prediction, multi-ledger consolidation |
| E-invoicing | Peppol sending and receiving in every edition since 2025 | Peppol free in Odoo, NLCIUS and BIS Billing 3.0 |
| Sales and CRM | Quotes, orders, price agreements, subscriptions | Pipeline, quotes, online signature and payment |
| Inventory | Stock, reorder advice, multi-warehouse in higher editions | Multi-warehouse, routes, barcode, lots, landed costs |
| Manufacturing | Shop orders, BOM costing, MRP in Premium | MRP, work orders, routings, quality, maintenance |
| Projects | Separate Project Management edition | Project, Timesheets, Field Service, Helpdesk |
| HR | Leave, contracts, Dutch payroll | Employees, Recruitment, Appraisals, Payroll |
| Website and shop | Via connectors in the App Center | Native Website, eCommerce and POS apps |
Odoo 20 added accounting changes worth knowing: run auto reconciliation, bill line prediction, multi-ledger consolidation and paying bills from Odoo through payment initiation providers. Our Odoo 20 accounting release notes list all 45.
Exact Online's strength is that Dutch accountants know it. If your bookkeeper insists on Exact, the hybrid option later in this guide keeps them happy while operations move to Odoo.
How does Exact Online pricing compare with Odoo pricing?
Exact Online charges per edition per month with users included and extra users on top, while Odoo charges one per-user price that covers every app. A small accounting-only firm often pays less on Exact; a multi-department team often pays less on Odoo.
On the Odoo pricing page, the US price billed yearly is US$31.10 per user a month for Standard and US$61.00 for Custom, with first-year prices of US$24.90 and US$49.00. Light Users cost US$8.90. One App Free covers unlimited users of a single app.
Custom adds Studio, multi-company, the external API and Odoo.sh or on-premise hosting. Exact publishes prices per market. Its US and UK price pages, checked in November 2026, list monthly prices excluding VAT as a range by edition level.
| Exact Online edition | US price page (per month) | UK price page (per month) |
|---|---|---|
| Accounting | US$25 to US$38 | GBP 25 to GBP 38 |
| Accountancy | US$131 | GBP 91 |
| Wholesale Distribution (Trade) | US$237 to US$554 | GBP 145 to GBP 329 |
| Manufacturing | US$422 to US$739 | GBP 251 to GBP 435 |
| Time and Billing | US$158 | GBP 91 |
| Project Management | US$316 to US$369 | GBP 184 to GBP 237 |
Dutch pricing is in euros. Dutch comparison sites in October 2026 listed Exact Online Boekhouden at EUR 49 to EUR 159 a month and Handel at EUR 269 to EUR 449, with extra users around EUR 23 to EUR 26 each. Treat these as indicative and confirm them on Exact's Dutch price page.
The pattern that matters: Exact's entry editions include one user and one or two administrations, so every extra user and administration is a line on the invoice. Odoo's price rises with users only, and every app comes with it.
Illustrative three-year comparison for a 12-person trading company
Take a wholesaler with 12 staff who need sales, purchasing, stock and accounting. On Odoo Standard, 12 users at US$31.10 is about US$4,480 a year, or US$13,400 over three years. On Exact Online, a Trade edition at US$237 to US$554 a month is US$2,840 to US$6,650 a year before extra users.
Add 11 extra users at roughly EUR 26 each (indicative Dutch rate) and the Exact bill rises by about EUR 3,400 a year. Over three years the two land in the same range, and Odoo also includes CRM, projects, HR and a website. These figures are illustrative; your quote will differ.
Licenses are only part of the bill. Our Odoo implementation cost guide puts a small project at US$3k to US$9k and a mid-size one at US$9k to US$27k, with data migration at US$1.2k to US$9k depending on the source system and years of history.
Which fits your company size: Exact Online or Odoo?
Exact Online fits firms under about 25 people with simple operations, while Odoo fits SMEs from roughly 10 to 500 users that run several processes or entities. Exact's factsheet draws the first line; our project history draws the second.
- 1 to 10 people, accounting led: Exact Online Boekhouden with your accountant is quick and low cost. Odoo One App Free or Standard works if you also want CRM or a website.
- 10 to 50 people, trading or making things: the crossover. Exact Online Handel or Productie works until you add a second warehouse, a webshop or a second company. Odoo Standard or Custom covers all of it.
- 50 to 500 people, several departments or entities: Odoo Custom with multi-company, Studio and the API. Exact would usually point you toward Globe+ at this size.
- Accounting firms: Exact Online Accountancy is built for you. Odoo's Accounting Firms mode is an option if you also run advisory projects and billing in Odoo.
What are the signs it is time to switch from Exact Online to Odoo?
You should switch from Exact to Odoo when Exact Online stops being your system and becomes one of several systems you reconcile by hand. These are the signals we hear most from Dutch and Belgian SMEs.
- Two or more Exact editions plus spreadsheets: trade in one place, projects in another, hours in a third, and Excel in between.
- A second company or country: consolidation and intercompany flows need more than extra administrations.
- A webshop or marketplace: orders, stock and invoices should flow without a connector per channel.
- Real manufacturing: work orders, routings, quality checks and maintenance beyond BOM costing.
- API limits: Exact Online's REST API allows an app 60 calls per company per minute and 5,000 per company per day, which caps live integrations.
- Customization the vendor cannot take: approval flows, custom fields across modules, or reports that need the data model.
- Add-ons that keep growing: the invoice rises every time a new colleague or entity appears.
If three or more apply, price an Odoo project. If one applies, you may only need a connector, which the hybrid section covers.
Where does Exact Online still win?
Exact Online is the better choice when your business is small, accounting led and tied to a Dutch or Belgian accountant who lives in Exact. We would tell these companies to stay.
- Accountant collaboration: the shared administration between client and accountant is Exact Online's home turf.
- Dutch payroll in the same subscription: payslips and bookkeeping from one vendor.
- Low setup effort: a one-person or five-person firm can be live in days without a partner.
- Sector packages: construction and trade packages fit matching firms out of the box.
Odoo covers Dutch payroll and Peppol too, but a very small firm rarely needs the breadth, and the partner-led setup costs more up front.
How do you migrate from Exact Online to Odoo?
An Exact to Odoo migration is a structured data move plus a short implementation, not a copy of Exact into Odoo. The key decision is how much history to bring.
| Data in Exact Online | Move to Odoo? | How |
|---|---|---|
| Customers, suppliers, contacts | Yes | Export to Excel, import with external IDs |
| Chart of accounts and VAT codes | Map, do not copy | Use the Dutch or Belgian localization, map old codes |
| Open invoices and bills | Yes | Load as open items at cutover |
| Opening balances | Yes | One journal per account at the cutover date |
| Closed years | Usually no | Keep an Exact export and XAF file as a read-only archive |
| Items, price lists, stock | Yes | Import items, then a stock count at cutover |
| Projects and hours | Open projects only | Closed projects stay in the archive |
Odoo's import tool accepts Excel or CSV files on any business object, with templates and external IDs so a load can be corrected and re-run. Odoo advises splitting large files into smaller batches.
- Scope workshop: list every Exact edition, add-on and connector you use, and decide what Odoo replaces.
- Pick the cutover date: the start of a VAT period or financial year makes reconciliation far easier.
- Build and map: install the Dutch or Belgian localization, map accounts and taxes, configure sales, stock or production.
- Trial load: import master data and open items into a test database, reconcile debtors, creditors and VAT to Exact.
- Train and test: key users run the top ten processes end to end.
- Cutover: freeze Exact, load final balances and open items, count stock, switch Peppol and bank feeds.
- Parallel month and sign-off: compare the first VAT return in both systems, then set Exact to read-only.
A focused migration for a small company takes 4 to 8 weeks; mid-size projects with manufacturing or several entities take 8 to 14 weeks. The Odoo migration cost calculator gives a first number from your data volume and modules.
Can Odoo and Exact Online work together?
Yes, a common hybrid keeps the accountant on Exact Online while sales, stock, projects or manufacturing run in Odoo. It works, but you have to design around Exact's API limits.
A user on the Odoo forum asked exactly this: their accountant uses Exact Online and needs the invoices logged in Odoo. The answers pointed to connector services and SQL-based integration tools that read and write both systems.
Two rules keep the hybrid stable. Agree which system owns each record: Odoo owns customers, products and orders; Exact Online owns the general ledger. Then sync in scheduled batches to stay within 60 calls per company per minute and 5,000 per day.
On the Odoo side, the external API documentation explains the JSON-2 API in Odoo 20; XML-RPC and JSON-RPC are deprecated but still work. Our Odoo integration services build these links, often as phase one before a full accounting move.
Does Odoo handle Dutch and Belgian compliance as well as Exact Online?
Odoo's Netherlands and Belgium localizations cover the compliance items most SMEs need: Peppol, SBR, XAF export, Intrastat, CODA statements and local payroll. Exact Online covers the same ground, so compliance rarely decides the choice.
The Odoo Netherlands localization installs the Dutch chart of accounts, VAT and fiscal positions, files SBR through Digipoort with your certificate, exports the XAF audit file, and adds Dutch payroll and Intrastat modules.
The Odoo Belgium localization imports CODA bank statements, connects to Intervat for VAT returns and handles 281.50 fee forms. For the Belgian mandate, see our Odoo Peppol e-invoicing guide for Belgium.
On Peppol itself, Odoo acts as its own access point; registration is free, available in Community, and supports BIS Billing 3.0 and NLCIUS. The Netherlands and Belgium are both eligible countries.
Which industries move from Exact Online to Odoo?
Trading companies, manufacturers and project-based firms move most often, because their work spans the editions Exact Online sells separately. The table shows where the pressure usually comes from.
| Industry | Pain or cost driver on Exact Online | Odoo approach | How iVentureTeam helps |
|---|---|---|---|
| Wholesale and distribution | Extra warehouses, webshop connectors, per-user add-ons | Inventory routes, eCommerce and POS on one stock ledger | Migrate items and stock, connect channels |
| Manufacturing | BOM costing without full work orders or quality | MRP, work orders, quality, maintenance, PLM | Map BOMs and routings, pilot one line |
| Professional services | Projects, hours and billing in separate editions | Project, Timesheets and invoicing in one flow | Set up billing rules and margins |
| Construction and installation | Progress billing and site stock across tools | Project, Field Service, Inventory and Accounting | Design progress billing and cost control |
| Multi-entity groups | Separate administrations, manual consolidation | Multi-company with intercompany rules | Build the group structure and reports |
Manufacturers get the biggest jump in capability. Our page on Odoo ERP for manufacturing shows how BOMs, work orders and quality checks sit on the same database as finance.

Exact Online alternative case study: Fernando Tax Management B.V.
A Dutch tax advisory replaced a rigid legacy system with Odoo 18 and cut manual data entry by 60%. Fernando Tax Management B.V., founded in 2008, serves clients in the Netherlands and Curaçao.
The firm's old software depended on hand-keyed data, produced duplicate records across systems, and rendered reports with translation gaps, a real liability for a practice whose output feeds government compliance. There was no customization path forward.
iVentureTeam migrated the firm to Odoo 18 in 10 weeks, built an office cost tracking workflow into Sales and Purchase, developed localized tax compliance reports for the Dutch and Curaçao contexts, and fixed hidden journal lines and translation defects.
The practice now runs on one automated platform with multi-language reports it can hand to clients and regulators without a second pass. Read the Fernando Tax Management Odoo 18 migration case study.
The bottom line on Odoo vs Exact Online
Stay on Exact Online if you are a small, accounting-led firm whose accountant works in it; move to Odoo when operations, projects, manufacturing or a second entity need to live in the same system as finance. The crossover is usually between 10 and 50 users.
Price three years on both sides, count the editions and add-ons you really use, and test your three most important processes in a free Odoo trial. The answer is usually clear after that.
