Xero to Odoo Migration: Signs, Data Scope, Cost and Cutover Plan cover

Xero is a very good small-business ledger. It was built for bank reconciliation and invoicing, not for warehouses, production or a group of companies, so businesses outgrowing Xero collect add-ons. Our Odoo migration services move the books into one ERP, with the ledger reconciled before you switch.

This guide is for owners, CFOs and accountants in New Zealand, Australia, the UK, the US and other Xero markets who are weighing Xero vs Odoo as a Xero alternative and want real numbers. If you run QuickBooks instead, our QuickBooks to Odoo migration page follows the same plan for that ledger.

What are the signs you have outgrown Xero?

You have outgrown Xero when the work happens outside it: stock in a spreadsheet, a separate app for every process, or a separate Xero organisation for every entity. Xero publishes the volumes it is designed for, and they are a useful early warning.

Xero's developer documentation says Xero is designed for up to 5,000 sales invoices, 5,000 bills and 5,000 bank transactions a month. It recommends no more than 4,000 tracked inventory items, warns that contact lists above 10,000 can slow down, and supports up to 500 fixed assets.

Xero design limit (per Xero developer docs)ValueWhat it looks like in practice
Sales invoices a month5,000Invoice runs slow down, reports time out
Purchase bills a month5,000Bill approval and batch payments drag
Bank transactions a month5,000Reconciliation becomes a daily job
Tracked inventory items4,000 recommendedVariants and bundles push you to an add-on
Contacts10,000 before slowdownsDuplicate contacts, slow search
Fixed assets500Depreciation runs degrade

Volume is only one sign. These come up most often on discovery calls:

  1. Stock lives somewhere else. Xero tracks quantity and average cost, not manufacturing, lots, serials or several warehouses, so an inventory app or spreadsheet appears.
  2. Several entities, several logins. Each company is a separate Xero organisation, so group consolidation happens in Excel.
  3. Two tracking categories are not enough. Xero allows two active tracking categories; users on Xero's product ideas board have asked for more since 2014, and in September 2026 the request was still "in discovery".
  4. Sales and operations re-key data. Quotes in a CRM, orders in a web store, invoices in Xero, each typed twice.
  5. Multi-currency costs a plan upgrade. In the US, multiple currencies are only on the Established plan.

If three or more apply, a Xero to Odoo migration is usually worth pricing. If none apply, stay on Xero.

Xero vs Odoo: what changes when you move?

Xero vs Odoo: What changes when you move?

Xero is a per-organisation accounting app, while Odoo is a per-user ERP where accounting shares one database with sales, stock, manufacturing and projects. The table shows the differences that matter during a migration.

Odoo prices come from the Odoo pricing page and Xero prices from Xero's US pricing page, both checked in October 2026. Xero's plan names and prices differ by country; in the UK the four plans run from £18 to £70 a month.

The pricing model flips. Illustrative: a 3-person firm on Xero Growing pays $59 a month for everyone, while the same firm on Odoo Standard pays about US$93 a month for three users and gets CRM, stock and projects in that price. Our Odoo pricing guide covers the costs beyond licenses.

What data moves from Xero to Odoo, and what stays in Xero?

In a Xero to Odoo migration, master data, open items and opening balances move, tracking categories map to analytic accounts, and closed-year history usually stays in Xero. The table shows where each Xero object lands.

Move open invoices and bills one by one, not as a lump balance, so your team can chase and pay from Odoo on day one. Odoo's docs warn that loading open items and the receivable balance together doubles the figure unless a clearing account absorbs one side.

History is the big decision. On the Odoo forum, an answer to a user asking how to move everything from Xero put it plainly: Odoo does not need to know about all your historical data, it needs the opening balances. Bring history only when someone will truly use it inside Odoo.

How do you export data from Xero?

Xero exports most lists and reports to CSV or Excel from the screen, and a scripted extraction through the Xero API covers everything else. Export one financial year at a time and keep the files as your audit trail.

  • Lists: chart of accounts, contacts, products and services, fixed assets and tracking categories export from their own screens.
  • Reports: export the trial balance, aged receivables, aged payables, inventory item list and bank summary as at the cutover date. These are your reconciliation targets.
  • Transactions: invoices, bills and bank transactions export from their list views or from the general ledger detail report.
  • Attachments: files attached to bills and invoices do not come out in a list export; a script or a manual download is needed.
  • API extraction: Xero's API allows 60 calls a minute and 5,000 calls a day per organisation, returns 100 invoices per page, and since September 2024 rejects unfiltered requests that would process more than 100,000 documents. Budget time for a multi-year pull.

Check the export totals against the Xero trial balance before anyone touches Odoo. Most migration errors trace back to a filtered export.

How do you import Xero data into Odoo?

Odoo imports Excel or CSV files into almost any record through its built-in importer, so Xero exports load as mapped spreadsheets, tested first on a copy. This is the order we follow.

  1. Localization first: create the database with the right fiscal localization so the chart of accounts, taxes and reports are preset for your country.
  2. Chart of accounts and taxes: import your Xero accounts or map Xero codes onto the localized chart, then map each Xero tax rate to an Odoo tax.
  3. Contacts and products: load contacts, then products with cost and sale price. Keep the Xero contact code in the External ID column so later imports link correctly.
  4. Analytic plans: create one analytic plan per Xero tracking category and one analytic account per option.
  5. Open invoices and bills: import them with original dates, numbers and due dates, posting against a clearing account.
  6. Opening trial balance: import the balances as at cutover in a dedicated journal, with receivable and payable lines replaced by the open items, and check the clearing account returns to zero.
  7. Opening stock: import quantity and cost per product and confirm the inventory valuation matches the balance sheet.
  8. Bank: enter the opening statement balance on each bank journal, then connect the feed.

Odoo's import guide covers the file formats, the Test button and the External ID column, and warns that large files can time out, so split them into batches. The accounting getting-started guide lists the checks the opening trial balance must pass before you post it.

The opening entry trips up more teams than anything else. In a long Odoo forum thread on importing opening balances, the recurring error is an unbalanced entry; each file must balance on its own, with a waiting account line that nets to zero after all three imports.

Odoo has no built-in Xero importer. Third-party Xero connectors on the Odoo app store are built for ongoing sync, not a clean one-time move, so check what each covers. New to Odoo books? Our guide on how Odoo Accounting works explains journals and reconciliation.

What happens to bank feeds, tax returns and multi-currency after Xero?

Odoo covers bank feeds, GST or VAT returns and multi-currency through its fiscal localizations and bank synchronization providers, so the Xero features finance teams rely on most have direct equivalents. Set them up and test them before cutover.

  • Bank feeds: Odoo's bank synchronization uses Plaid in the US and Canada, Basiq in Australia, Salt Edge worldwide, and Yodlee, Ponto and Enable Banking in Europe. Check your bank is covered; otherwise import statement files.
  • Tax returns: Odoo's New Zealand localization maps the 15% GST to IRD return boxes 1 to 15; Australia gets the BAS report and ABA payment files; the UK gets MTD VAT submission to HMRC.
  • UK detail: our guide on Odoo and HMRC MTD compliance walks through the UK setup.
  • Multi-currency: standard in Odoo, with automatic rates and exchange difference entries; Odoo 20 adds cumulative translation adjustment entries for consolidation.
  • Reconciliation: Odoo 20 adds a Run Auto Reconciliation action and reconciliation against several accounts; see our Odoo 20 accounting release notes.

How much does a Xero to Odoo migration cost?

On iVentureTeam's published ranges, a Xero to Odoo project costs $3k to $9k for a small firm, $9k to $27k for a mid-size firm and $27k to $150k+ for a large group, with data migration at $1.2k to $9k inside those figures. These are ranges, not quotes.

Five things move the number: the years of history you want inside Odoo, the count of Xero organisations, tracked inventory depth, integrations with a web store or CRM, and custom reports. See the full breakdown on our Odoo implementation cost page.

For a quick range, use the Odoo migration cost calculator. Licenses are extra. Illustrative: 10 Odoo Standard users cost US$3,732 a year at US$31.10, or US$2,988 in the first year at US$24.90.

How long does a Xero to Odoo migration take, step by step?

Most single-organisation Xero to Odoo migrations take 4 to 8 weeks, and groups with several Xero organisations take 8 to 14 weeks. This is the plan we run.

  1. Xero audit (week 1): list organisations, financial years, tracked items, tracking categories, repeating invoices, bank rules and connected apps, then report on data quality.
  2. Mapping and setup (weeks 1 to 2): chart of accounts, taxes, analytic plans, products, warehouses and bank journals configured in Odoo.
  3. Pilot migration (weeks 2 to 4): load the current year on a test database and match the trial balance, aged receivables, aged payables and stock value to Xero.
  4. History and integrations (weeks 4 to 6): load any extra years in scope, connect the web store, CRM or payroll, and rebuild custom reports.
  5. Sign-off and cutover (weeks 6 to 8): your accountant signs the reconciliation, Xero is frozen, and Odoo goes live over a weekend.
  6. Hypercare (30 days): daily check-ins with your finance team through the first close.

Training and user testing run alongside steps 2 to 5. Clean duplicate contacts and dead products in Xero before kickoff; messy masters cause most slips. Our Odoo migration guide covers the wider method for any source system.

When should you cut over, and how long should you run both?

Cut over at the start of a financial year or a tax period, and run Xero and Odoo in parallel for one full monthly close. Odoo's own documentation calls a mid-period switch "not recommended" because the tax return then has to be assembled from two systems.

Cutover timingOpening entryTax returnEffort
Financial year startClosing balances of the finished yearWhole year filed from OdooLowest
Tax period start (quarter or month)Balances on the cutover datePeriod filed from one systemModerate
Mid-periodBalances on an odd dateSplit across Xero and OdooHighest, avoid

At the end of the parallel month, these must match in both systems: trial balance, customer and supplier outstanding item by item, GST or VAT control accounts, stock quantity and value, and bank balances after reconciliation. Keep the final Xero export for your auditors.

Xero to Odoo migration case study: Fernando Tax Management

A Dutch tax practice that had outgrown a rigid, hand-keyed accounting system moved onto Odoo 18 in 10 weeks and cut manual data entry by 60%. The source system was not Xero, but the pattern is the one most Xero firms recognise.

Fernando Tax Management B.V., founded in 2008, had rising client volume on software that could not adapt to its processes. Manual entry across systems produced duplicate and inconsistent records, and reports for two jurisdictions, the Netherlands and Curaçao, rendered with translation gaps.

iVentureTeam migrated the firm to Odoo 18, built a custom office cost-tracking workflow into Sales and Purchase, developed localized tax compliance reports, and resolved a hidden journal lines issue that had been obscuring accounting data.

The firm now runs on one automated system with reports it can hand to clients and regulators without a second pass. Read the Fernando Tax Odoo accounting automation case study.

The bottom line on Xero to Odoo migration

Move masters, open items and opening balances, keep closed years in Xero unless you truly need them in Odoo, and cut over at a period start after one matched parallel close. That plan keeps cost and risk low.

Budget for Odoo licenses and migration work, check bank feed coverage early, and test the tax return on a copy before go-live. Most single-organisation firms are live within 4 to 8 weeks.

Frequently Asked Questions

Can Odoo replace Xero?

+

Yes. Odoo covers accounting, bank feeds, GST or VAT returns and multi-currency, and adds sales, purchase, inventory, manufacturing and CRM in one database. Very small firms that only need books may be better off staying on Xero.

How much does a Xero to Odoo migration cost?

+

Our published ranges put data migration at $1.2k to $9k depending on years of history, inside an implementation that starts at $3k to $9k for a small firm. Odoo licenses are billed separately per user.

How long does it take to migrate from Xero to Odoo?

+

Most single-organisation migrations take 4 to 8 weeks, including mapping, a pilot, cutover and hypercare. Groups with several Xero organisations usually need 8 to 14 weeks.

Can I move all my Xero history into Odoo?

+

Yes, invoices, bills and journals can be loaded year by year from Xero exports or the API. Most firms bring only opening balances and open items and keep closed years in Xero, because history is the biggest cost driver.

Does Odoo have bank feeds like Xero?

+

Yes. Odoo synchronizes bank accounts through providers such as Plaid in the US and Canada, Basiq in Australia and Salt Edge worldwide. If your bank is not covered, you can import statement files instead.

What happens to Xero tracking categories in Odoo?

+

Each tracking category becomes an analytic plan and each option becomes an analytic account. Odoo has no fixed cap of two categories, so you can add plans for funds, departments or projects.

Is Odoo more expensive than Xero?

+

For one or two people who only need books, Xero costs less. Odoo charges per user, US$31.10 a month on Standard billed yearly, but includes every app, so the comparison turns once you add inventory, CRM or several entities.

When is the best time to switch from Xero to Odoo?

+

The start of a financial year is cleanest because the whole year sits in Odoo. The start of a tax period also works well. Odoo's documentation advises against switching mid-period.

Can Xero and Odoo run side by side?

+

For a short parallel run, yes. Keep it to one monthly close and compare trial balance, outstanding items, tax control accounts, stock and bank balances before switching Xero off.
