Zoho to Odoo Migration Checklist: Books, CRM, Inventory and Cutover
Zoho to Odoo migration checklist: export Zoho Books, CRM and Inventory, map fields, load opening balances with clearing accounts, and plan a safe cutover.
Most Zoho to Odoo guides stop at "export CSV, import CSV". The hard parts are field mismatches, double-counted balances and Zoho export limits that nobody mentions until week three. Our Odoo migration services team wrote this checklist from projects where those problems showed up.
This guide is for finance leads, operations managers and founders who have already decided to move, or are close to it. If you are still weighing the two platforms, read our Odoo 20 vs Zoho One cost and capability comparison first; this post assumes that decision is made.
Why do companies migrate from Zoho to Odoo?
Companies migrate from Zoho to Odoo when they need stock, production, accounting and sales in one database instead of several synced apps. The trigger is usually operational, not a dislike of Zoho.
- Manufacturing: Zoho Inventory has no manufacturing module, so bills of materials live in spreadsheets.
- Several companies: each Zoho Books organization is separate; Odoo runs multi-company in one database on the Custom plan.
- Sync fatigue: Books, CRM and Inventory are linked, but each sync has its own rules and failures.
- Custom workflows: Deluge scripts and Zoho Creator apps hit limits that Odoo Studio or Python modules handle.
If none of these apply, you may not need to migrate from Zoho at all. Our Odoo vs Zoho One comparison covers the cases where staying is the right call.
How do Zoho apps map to Odoo apps?

Every core Zoho app has an Odoo equivalent, but the record structures differ, so the mapping is app to app first and field to field second. Use this table as your scope document.
| Zoho app | Odoo app | Moves cleanly | Needs rebuilding |
|---|---|---|---|
| Zoho Books | Odoo Accounting and Invoicing | Chart of accounts, contacts, open invoices and bills, opening balances | Taxes, recurring invoices, bank feeds, custom templates |
| Zoho CRM | Odoo CRM and Sales | Leads, contacts, accounts, deals, owners, stages | Workflow rules, Blueprints, scoring, email templates |
| Zoho Inventory | Odoo Inventory and Purchase | Items, warehouses, stock on hand, open sales and purchase orders | Composite items, reorder rules, shipping integrations |
| Zoho Desk | Odoo Helpdesk | Teams, SLA targets, open tickets | Automations, portal branding, knowledge base |
| Zoho People | Odoo Employees and Time Off | Employees, departments, leave balances | Approval chains, attendance rules, payroll |
| Zoho Creator and Deluge | Odoo Studio, automated actions, custom modules | Nothing moves as code | Every script is redesigned in Odoo terms |
One point shapes the rest of the plan: Zoho Inventory does not hold accounting journals, those sit in Zoho Books, so the two exports must agree before you load either. Zoho One to Odoo is the same exercise app by app, with a longer list.
How do you export data from Zoho Books, CRM and Inventory?
Each Zoho app exports differently, and the limits decide how many days your export phase takes. Check these before you promise a cutover date.
| Zoho app | Export method | Format | Limits worth knowing |
|---|---|---|---|
| Zoho Books | Settings > Data Backup, or export per module | Zip of CSV files, one set per module | Backup takes about 30 minutes; link expires after 30 days; 15-day wait between backups |
| Zoho CRM | Setup > Data Administration > Export, or a full Data Backup | Zipped CSV per module; attachments in a separate zip | Up to 200,000 records per module export; link valid 7 days; notes capped at 3,000 per export |
| Zoho Inventory | Module > More > Export | CSV, XLS or XLSX, with date range and field templates | Serial and batch numbers export only from Items, Invoices, Bills, Adjustments and Transfer Orders |
| Zoho Books API | REST API with OAuth | JSON | Daily call limits by plan: Free 1,000; Standard 2,000; Professional 5,000; Premium and above 10,000 |
The Zoho Books data backup guide explains the 15-day gap between backups. The Zoho CRM export FAQ lists the 200,000-record cap and daily export counts by edition.
For CRM attachments, use the Zoho CRM data backup. It includes record attachments but not email content, Documents or integration data. Paid editions get two free backups, Ultimate four; more cost extra.
Plan the export calendar early: a Zoho Books backup taken in week one cannot be refreshed for 15 days, so time the final one for the freeze date. Pull the Zoho Inventory export the same day so stock and bills agree.
What should move from Zoho to Odoo, and what should stay behind?
Move what runs the business tomorrow, archive what explains yesterday. This is the single decision that most changes cost and timeline.
| Data | Recommendation | Why |
|---|---|---|
| Customers, vendors, contacts | Move, deduplicated | Odoo needs them for every open document |
| Chart of accounts and taxes | Rebuild in Odoo, then import extra accounts | Odoo's localization already carries most accounts and taxes |
| Opening trial balance | Move at a period end | Required for correct reports |
| Open invoices, bills, credit notes | Move as total amount due | Collections and payments continue |
| Paid history, closed years | Archive as CSV and PDF | Odoo reports start from the opening entries |
| Products, items, price lists | Move, with costs | Needed for stock valuation and sales |
| Stock on hand per warehouse | Move as an opening count | Valuation must match the balance sheet |
| Open sales and purchase orders | Move or re-key | Deliveries and receipts continue |
| Live CRM pipeline | Move | Sales keeps working on day one |
| Won and lost deals older than a year | Archive | Little day-to-day value |
| Attachments and emails | Archive, link selectively | Bulk import is slow and rarely used |
Keep the archive outside Zoho too. Zoho's privacy policy says data is deleted from the active database within 6 months of account termination and from backups 3 months later. A read-only Zoho plan helps for a while, but your own exports are the permanent record.
Zoho to Odoo data mapping: the fields that break
Field mapping fails on identity, hierarchy, taxes and formats, so fix those four before you touch a single import file. Odoo's import tool handles the rest.
- Record IDs: paste each Zoho record ID into Odoo's External ID column. The Odoo import documentation says External IDs let you re-import without duplicates and link related records with Field/External ID columns.
- Accounts and Contacts: Zoho CRM separates Accounts from Contacts. In Odoo both are contacts; load companies first, then people with Related Company/External ID.
- Taxes: Zoho Books tax names rarely match Odoo tax names. Map each Zoho tax to the Odoo tax from the fiscal localization, and never import tax amounts as lines.
- Items: Zoho Inventory composite items become Odoo kits or bills of materials, which import does not create; set them up by hand after products load.
- Dates and numbers: export dates as YYYY-MM-DD. Odoo guesses date formats from the first rows and can invert day and month, so keep one format per file.
- Picklists and tags: Zoho multi-select values map to Odoo many2many fields as comma-separated values in one column.
- Custom fields: create them in Odoo (Studio on the Custom plan, or a small module) before import, otherwise the column has nowhere to land.
In an Odoo forum thread on mapping Zoho CRM fields into Odoo, the connectors on offer covered only leads and clients, and the open worry was attachments. Hand-built CSV files you can reload into a test database remain the dependable route.
How do you bring Zoho Books balances into Odoo Accounting?
Load the opening trial balance and the open documents through clearing accounts, then prove four totals match before anyone posts a new entry. This is Odoo's documented method and it prevents double counting.
Odoo's accounting transition guide explains the trap: post the receivable balance and also create the open invoices, and receivables show twice. The fix is a clearing account that both entries hit, so it nets to zero.
Follow this order:
- Pick the date: Odoo recommends a fiscal year end as the easiest cutover, a tax period end as second best, and advises against mid-period moves.
- Set up the chart of accounts: install the Odoo localization, rename or recode standard accounts to match Zoho Books, and import only the accounts with no equivalent.
- Prepare four lists from Zoho Books: opening account balances, open customer invoices and credit notes, open vendor bills and refunds, and the opening inventory count.
- Import open documents as one line each: Odoo advises one line per invoice or bill with only the total amount due, booked to the clearing account, with the original number and dates.
- Confirm the drafts: imported invoices arrive as drafts; select them and use Confirm Entries. Negative invoices are credit notes and load separately.
- Post the opening entry: load the trial balance with the clearing accounts, then check that each clearing account is zero.
Odoo's four checks before go-live: receivables equal open invoices minus credit notes; payables equal open bills minus refunds; inventory accounts equal quantity times cost; and the trial balance balances. If a check fails, fix the source, do not park the difference.
Two Odoo 20 details matter here. Manual journal lines no longer accept bank or cash accounts, so opening bank balances create bank statement lines instead. Account groups became parent accounts and codes are optional, which makes matching a Zoho Books chart easier.
Our guide on how Odoo Accounting works covers the day-to-day flow after the opening entries.
How do you migrate Zoho CRM to Odoo CRM?
Move the live pipeline with owners and stages intact, treat activities as notes, and rebuild automation in Odoo rather than translating Deluge. Sales should lose no open deal.
Export Zoho CRM modules in this order: Accounts, Contacts, then Leads and Deals. Load companies before people so Related Company resolves. Map Zoho deal stages to Odoo pipeline stages and Zoho owners to Odoo users with the same email addresses before import.
Activities are the weak spot. Zoho tasks, calls and meetings have no exact Odoo target; a forum user asking how to import tasks from Zoho CRM into Odoo CRM got no answer. We load them as chatter notes and recreate only open follow-ups as Odoo activities.
Workflow rules, Blueprints and Deluge functions do not migrate. List them, keep the ones that earn their place, and rebuild those as Odoo automated actions or Studio rules. Our Odoo CRM guide shows how a won opportunity becomes a quote, delivery and invoice.
How do you move Zoho Inventory to Odoo Inventory?
Load products with costs first, then import a counted opening stock per warehouse through Odoo's Physical Inventory template. Stock value must agree with the balance sheet you just loaded.
Export Items from Zoho Inventory with SKU, category, unit, cost and sale price. Import product categories into Odoo before products so each product can reference its category. For serials or batches, keep one line per lot or serial in the Odoo file.
Odoo's stock template needs Product (or Product/External ID for variants), Counted quantity, Location and Lot/Serial Number. FIFO products with layers at different costs load cost by cost. Inventory valuation must then equal the opening inventory account; if not, a cost or a count is wrong.
Composite items in Zoho Inventory become kits or manufacturing bills of materials in Odoo. Decide which before you load: a kit sells as components, while a bill of materials consumes them in a work order.
What does a Zoho to Odoo cutover plan look like?
A good cutover is a dated sequence with a freeze, a load, a reconciliation and a go or no-go call, not a weekend of hope. Here is the plan we run for a single-company move.
- Weeks 1 to 2, scope and mapping: agree the move or archive list, build the mapping sheet, take a first Zoho Books backup and CRM export.
- Weeks 3 to 5, Odoo setup: install apps, localization, chart of accounts, taxes, warehouses, pipeline stages and custom fields on a test database.
- Weeks 4 to 6, trial loads: import master data and a sample of open documents, run the four accounting checks, fix the mapping, repeat.
- Week 7, user acceptance: key users run quote to cash, purchase to pay and stock moves on the test database with real records.
- Freeze day: stop new transactions in Zoho at the period end, take the final backups and exports, count stock.
- Load weekend: import to production, reconcile receivables, payables, stock value and pipeline counts against signed Zoho reports.
- Go or no-go: go live only when every total matches; otherwise fix and reload, never adjust the difference away.
- Weeks 9 to 10, parallel and hypercare: keep Zoho read-only, compare the first bank reconciliation and the first month-end, then close Zoho access.
The weeks above are illustrative for a small to mid-size company on Books, CRM and Inventory. Several companies, manufacturing or heavy customization extend them. Our Odoo migration guide explains the methods and risks behind each step.
How much does a Zoho to Odoo migration cost and how long does it take?
Budget for three parts: Odoo licenses, the implementation, and the data migration itself, which is usually the smallest of the three. Published ranges keep the conversation honest.
| Cost item | Typical range | Notes |
|---|---|---|
| Odoo licenses (US, billed yearly) | US$31.10 Standard or US$61.00 Custom per user a month | Custom adds Studio, multi-company and the external API |
| Odoo implementation, small | US$3k to US$9k, 4 to 8 weeks | One company, a few apps, light customization |
| Odoo implementation, mid-size | US$9k to US$27k, 8 to 14 weeks | Books, CRM and Inventory with integrations |
| Data migration from Zoho | US$1.2k to US$9k | Depends on source apps and years of history |
| Zoho exit | Read-only months plus backup add-ons | Check your renewal date before you plan the freeze |
License prices are from the Odoo pricing page; new customers get a lower first-year rate. The project ranges come from our Odoo implementation cost guide and are ranges, not quotes.
For a number tied to your apps and record counts, run the free Odoo migration cost calculator. Full transaction history, bulk attachments and many Deluge automations push cost up; a year-end cutover, deduplicated contacts and keeping Zoho Desk where it works pull it down.
Which industries migrate from Zoho to Odoo most often?
Product businesses lead the switch, because stock, production and accounting in one database is where Zoho's separate apps strain first. Services firms move when billing or multi-entity reporting outgrows Zoho Books.
| Industry | Pain or cost driver in Zoho | Odoo approach | How iVentureTeam helps |
|---|---|---|---|
| Manufacturing | No manufacturing in Zoho Inventory; BOMs in spreadsheets | MRP, work orders, quality in one database | Convert composite items to BOMs, load opening WIP |
| Wholesale and distribution | Order and location caps, multi-warehouse sync | Multi-warehouse routes, barcode, landed costs | Opening stock per warehouse, reorder rules |
| eCommerce and retail | Channel orders synced through several apps | Website, POS and stock on one ledger | Map channels, migrate SKUs and prices |
| Professional services | Project billing outside Books; per-entity organizations | Projects, timesheets, subscriptions, multi-company | Opening WIP, recurring invoices, consolidation |
| SaaS and support-led firms | Desk tickets and billing in separate apps | Helpdesk linked to CRM and Subscriptions | Keep Zoho Desk if it works, connect it to Odoo |

Zoho to Odoo migration case study: Fernando Tax Management
A Dutch tax advisory moved from a rigid legacy system with hand-keyed data to Odoo 18 in 10 weeks, which is the same shape as most Zoho Books to Odoo projects. Fernando Tax Management B.V. serves clients in the Netherlands and Curaçao.
The firm's old software could not adapt to its processes and had no customization path. Manual entry across systems produced duplicate and inconsistent records, journal entry creation was convoluted, and reports rendered with translation gaps.
iVentureTeam migrated the firm to Odoo 18, then customized Accounting, Sales and Purchase around a tax practice: a custom office cost tracking workflow, localized tax compliance reports for the Netherlands and Curaçao, and a fix for a hidden journal lines issue that had obscured accounting data.
The outcome was a 60% reduction in manual data entry, multi-language reports that match business and government requirements, and one system of record. Read the Fernando Tax Management Odoo accounting case study.
The bottom line on Zoho to Odoo migration
Treat the move as a new Odoo implementation fed by a scoped Zoho export, cut over at a period end, and let four reconciliation totals decide go-live. That approach costs less and fails less than copying everything.
Export limits, field mismatches and double-counted balances are predictable, so put them on the plan in week one. Keep your own archive of Zoho data, keep the Zoho apps that still earn their place, and train users before the freeze.

Frequently Asked Questions
Can you migrate from Zoho to Odoo without losing data?
+
Yes, if you keep a complete Zoho export and move what the business needs: master data, open documents, opening balances, stock and the live pipeline. Closed history stays in a read-only archive, where it remains searchable without being loaded into Odoo.
How do I export all my data from Zoho Books?
+
Go to Settings, then Data Backup under Developer Space, and request a backup. Zoho emails a download link in about 30 minutes for a zip of CSV files, one set per module. The link expires after 30 days and you must wait 15 days before the next backup.
How long does a Zoho to Odoo migration take?
+
A single company on Zoho Books, CRM and Inventory typically needs 8 to 10 weeks from scoping to the end of parallel running. Several companies, manufacturing setup or many Deluge automations add weeks. Cutting over at a fiscal year end shortens the data work.
How much does it cost to migrate Zoho Books to Odoo?
+
Our published data migration range is US$1.2k to US$9k depending on the source apps and years of history, on top of implementation ranges that start at US$3k to US$9k for a small company. Odoo licenses are separate. These are ranges, not fixed quotes.
Should I migrate my full Zoho transaction history to Odoo?
+
Usually not. Odoo's own transition guide starts from opening balances and open invoices and bills. Full history multiplies import work, risks duplicated balances and rarely changes a decision. Archive closed years as CSV and PDF and keep them outside Zoho.
Does Zoho CRM data move to Odoo CRM?
+
Accounts, contacts, leads, deals, owners and stages import well with External IDs. Tasks, calls and notes have no exact target and are loaded as chatter notes. Workflow rules, Blueprints and Deluge scripts do not migrate and are rebuilt as Odoo automations.
Can I keep some Zoho apps after moving to Odoo?
+
Yes. Many companies keep Zoho Desk or Zoho CRM for customer-facing teams and run Odoo as the ERP behind them. Odoo's external API on the Custom plan syncs contacts, orders and invoices, and you decide which system owns each record.
Which Odoo plan do I need after leaving Zoho?
+
Standard covers one company on Odoo Online with all apps. Custom adds Studio, multi-company, the external API and Odoo.sh or on-premise hosting. Choose Custom if you run several entities, need custom fields beyond settings, or plan to keep Zoho apps connected.
