QuickBooks and Fishbowl vs Odoo 20 for Manufacturers

Most US and Canadian shops reach Fishbowl the same way: QuickBooks could not run bills of materials, so they added an inventory system. That works until the two databases disagree. Our QuickBooks to Odoo migration team sees that moment often.

This guide is for owners, controllers and operations managers at manufacturers on QuickBooks with Fishbowl who are weighing Fishbowl alternatives. For the wider picture on choosing a production system, read our guide to ERP for manufacturing.

What do QuickBooks, Fishbowl and Odoo 20 each do?

QuickBooks is accounting software, Fishbowl is an inventory and manufacturing add-on, and Odoo 20 is an ERP that does both in one database. Knowing which Fishbowl product you run matters, because only one of them does manufacturing.

SystemMain jobManufacturing scopeLedger lives in
QuickBooks Online Plus or AdvancedAccounting, invoicing, inventory trackingNo bills of materials or work orders listedQuickBooks
QuickBooks Desktop EnterpriseAccounting, Advanced Inventory on Platinum and DiamondNo bills of materials listed on the pricing pageQuickBooks

Fishbowl Advanced ManufacturingBills of materials, MRP, work orders, job and labor costingYes, alongside QuickBooksQuickBooks
Odoo 20MRP, Inventory, Quality, PLM, Purchase, AccountingBills of materials, routings, work orders, planningOdoo itself

QuickBooks Online values stock with FIFO or moving average cost. Fishbowl adds production on top and posts results back.

Fishbowl's help center still files the cloud product's QuickBooks Online guide under the Fishbowl Drive name. Fishbowl Advanced is the manufacturing and warehouse platform.

Where does the Fishbowl QuickBooks integration break?

The Fishbowl QuickBooks integration breaks where two databases have to agree: export timing, account mapping and edits made on the QuickBooks side. These come from running two ledgers, not from one bug.

Fishbowl's QuickBooks integration page maps customers, invoices, credit memos, vendors, bills, journal entries and inventory values. It also says sales orders and purchase orders do not transfer directly, and that the link runs on a scheduled basis.

The common failure points:

  • Busy company files: on the QuickBooks Community, one Desktop user said Fishbowl exports failed about once a day for over a year; the fix was a database scan or closing stray QuickBooks processes.
  • Manual edits: a manual entry to the QuickBooks inventory account breaks the match with Fishbowl, so stock corrections have to start in Fishbowl.
  • Point-in-time gaps: the same guide says the two can "only be reconciled as of now" unless you saved a copy of the database at month end.
  • Version limits: Fishbowl lists QuickBooks Desktop 2021 to 2024 and only the Plus and Advanced tiers of QuickBooks Online.
  • Two item lists: parts, units and costs live in Fishbowl while the ledger lives in QuickBooks, so new accounts and items need mapping on both sides.

In Odoo there is nothing to export. Receipts, production orders and invoices post journal entries to the same ledger as they happen. Our guide on how Odoo Accounting works shows those postings.

How do QuickBooks and Fishbowl compare with Odoo 20 for manufacturing?

QuickBooks + Fishbowl vs Odoo 20: Which one runs your plant better?

Fishbowl Advanced covers the core manufacturing tasks, but Odoo 20 runs them in the same database as accounting, quality and engineering changes. The table compares the two setups feature by feature.

CapabilityQuickBooks + FishbowlOdoo 20

In Odoo every row reads and writes the same records, so a cost change, a recall or a scrap entry reaches finance without a second step.

How do bills of materials, work orders and routings differ?

Both setups handle bills of materials and work orders, but Odoo 20 adds routings tied to work centers, engineering change control and new tools to compare and edit BOMs. Check first which Fishbowl product you own.

Fishbowl puts BOMs, work orders and MRP on its Advanced Manufacturing plan. Its pricing page says plainly that "Inventory plans do not include manufacturing (BOMs, work orders, MRP)", so a shop on Essentials, Growth or Scale has no production module at all.

In Odoo, a bill of materials can carry operations, each linked to a work center with its own time and cost. Work orders then appear in Shop Floor, where operators record output on a tablet. See how this fits a plant on our page on Odoo ERP for manufacturing.

Odoo 20 adds a Compare BoMs pivot, a Used In button that edits or swaps a component across several BOMs at once, and continuous production, where the next operation starts as soon as some units are done. Our Odoo 20 manufacturing release notes cover all 24 changes.

Odoo PLM handles engineering change orders. In Odoo 20, applying a change lets you choose whether product and BOM versions go up, which matters for custom and regulated products.

Which handles MRP planning, costing and traceability better?

Odoo 20 handles MRP planning, product costing and lot traceability in one place, while a Fishbowl setup splits cost data between Fishbowl and QuickBooks. That split is where month-end hours go.

Planning in Odoo uses reordering rules, make-to-order routes and a Master Production Schedule for long lead-time items. In Odoo 20, reordering rules can suggest min and max levels from demand history, and replenishment can create draft orders for review.

Costing is set per product category as Standard, AVCO or FIFO. The MO Overview shows planned cost while an order runs and real cost once it is done. Production Analysis splits unit cost into components, work centers, subcontracting, employees and operations.

When a landed cost or vendor bill changes a product's cost after it shipped, Odoo 20 recalculates the delivery value and, with perpetual accounting, the cost of goods sold on the posted invoice.

For traceability, Odoo 20 creates lot or serial numbers when you close a manufacturing order, shows upstream and downstream lots in one report, and lists only the delivery lines of a lot for a recall. Our Odoo 20 inventory release notes show each screen.

How much do QuickBooks, Fishbowl and Odoo cost?

QuickBooks plus Fishbowl means two subscriptions and a required Fishbowl implementation package, while Odoo is one per-user subscription plus an implementation partner. These are list prices checked on October 22, 2026.

ProductList priceWhat you get
QuickBooks Online Plus$140 a month5 users, inventory tracking
QuickBooks Online Advanced$340 a month25 users
QuickBooks Desktop EnterpriseCustom pricing from IntuitGold and Platinum up to 30 users, Diamond up to 40
Fishbowl Essentials, Growth, Scale$229, $429, $729 a month billed annually2, 5 and 10 users; no manufacturing
Fishbowl Advanced ManufacturingFrom $675 a month, confirmed by quoteBOMs, MRP, work orders, costing
Odoo StandardUS$31.10 per user a month billed yearlyAll apps; US$24.90 in the first year
Odoo CustomUS$61.00 per user a month billed yearlyAdds Studio, multi-company, external API, Odoo.sh or on-premise

QuickBooks figures are Intuit's list prices before its three-month promotion. On Fishbowl's pricing page, Advanced is "always confirmed by quote", an implementation package is required, and its price is not published. Odoo prices are from Odoo's pricing page.

Illustrative example for 10 users: QuickBooks Online Advanced at $340 plus Fishbowl Advanced Manufacturing from $675 is at least $1,015 a month, before Fishbowl's implementation package. Ten Odoo Standard users are $311 a month billed yearly, before implementation.

Implementation is the larger Odoo cost. Our published ranges are $3k to $9k over 4 to 8 weeks for small firms and $9k to $27k over 8 to 14 weeks for mid-size firms. Our Odoo implementation cost guide lists what moves the number.

Desktop users should note that Intuit stopped selling new Desktop Pro Plus, Premier Plus and Mac Plus subscriptions in the US after September 30, 2024, and Desktop 2023 lost support after May 31, 2026.

What changed in Odoo 20 for manufacturers?

Odoo 20 brought 24 Manufacturing changes and 22 Inventory changes, and several target the gaps that push shops toward Fishbowl. Odoo 20 was released in September 2026, so a new project starts on it directly.

  • Continuous production: later operations start before earlier ones finish.
  • BOM editing: compare BOMs and swap components across many BOMs at once.
  • Real cost: planned cost while an order is open, real cost when done.
  • Traceability: automatic lots and serials, one upstream and downstream report.
  • Smarter reordering: suggested min and max levels from demand history.
  • Inventory at a date: stock quantities and values at any past date and time, plus a stock aging report.
  • Draft orders: replenishment can create draft manufacturing orders that a planner confirms.
  • Quality: quality administrators can validate transfers with open checks, and failed goods go to a chosen failure location.

The inventory-at-a-date view fixes the "as of now" limit in Fishbowl's reconciliation guide, because the past-date figure comes from the same ledger as your balance sheet.

Should you stay on QuickBooks and Fishbowl or move to Odoo?

Moving off Fishbowl? Price Odoo first

Stay if the sync is clean and production is simple; move when your team spends more time reconciling two systems than planning production. Moving is a project, so only do it for a clear reason.

Staying makes sense with simple assemblies, one warehouse, an accountant set on QuickBooks, and no need for quality checks or change control.

Use this checklist. If four or more answers are yes, price an Odoo move:

  1. Sync errors: does the Fishbowl export fail or need a fix more than once a month?
  2. Month-end: does reconciling Fishbowl stock to the QuickBooks inventory account take more than a day?
  3. Production module: are you on a Fishbowl inventory plan but now need BOMs and work orders?
  4. Routings: do you need operations, work center capacity and shop-floor tablets?
  5. Traceability: do customers or regulators ask for lot or serial recalls in hours, not days?
  6. Quality and PLM: do you need quality checks or engineering change orders tied to production?
  7. Desktop risk: are you on QuickBooks Desktop 2023 or a Plus plan you can no longer buy new?
  8. Growth: do you plan a second warehouse, a second company or an eCommerce channel?

How do you migrate from QuickBooks and Fishbowl to Odoo?

Move master data and open items from both systems, take opening balances from QuickBooks, and keep closed history in read-only archives. Plan it as a new implementation, not a copy of the old setup.

  1. Reconcile first: match Fishbowl's valuation to the QuickBooks inventory account at a month end, then save both databases.
  2. From Fishbowl: parts, BOMs, units of measure, locations, vendor part numbers, and lots and serials on hand.
  3. From QuickBooks: chart of accounts, customers, vendors, sales tax settings, and open invoices and bills.
  4. Open documents: re-create open sales orders, purchase orders and work orders in Odoo.
  5. Opening balances: load the trial balance and stock values at the cutover date and check they agree.
  6. Test and run parallel: process a month in a test database, then run a short parallel period.

Data migration on our published ranges costs $1.2k to $9k, depending on the source system and years of history. Keep closed years as read-only exports. Our Odoo migration services cover export, mapping, testing and cutover.

Which manufacturers gain most from moving off QuickBooks and Fishbowl?

Manufacturers with lot control, multi-step routings or several sites gain most, because those are the areas where two systems drift apart fastest. The table shows the common patterns.

Odoo manufacturing case study: Chetan Plastics

Chetan Plastics did not use QuickBooks or Fishbowl, but it faced the same split: a shared Excel file and disconnected tools across departments. It is a plastics and print manufacturer in Ahmedabad, India.

Sales, purchase, delivery and receipt records lived in Excel. Block-based print pricing was worked out by hand in a separate spreadsheet, and nothing linked a CRM job to its sales order, purchase order or delivery paperwork.

Over a 16-week phased rollout, we connected six core Odoo modules from Sales to Repair. We added two-step validation on sales and purchase confirmations, the block calculator inside order lines, secondary units and 100x75mm barcode labels.

The master Excel file is retired, and the plant runs quote-to-cash and procure-to-pay in one system with shorter order cycles and fewer manual errors. Read the Chetan Plastics Odoo manufacturing case study.

The bottom line on QuickBooks and Fishbowl vs Odoo

Keep QuickBooks and Fishbowl while production is simple and the sync is quiet; move to Odoo 20 once reconciling two systems costs more than running one. Price both honestly before you decide.

Count sync fixes and month-end hours for three months, get a written Fishbowl quote, and price Odoo with implementation. The numbers usually decide it.

Frequently Asked Questions

Is Fishbowl better than Odoo for manufacturing?

+

Not in general. Fishbowl Advanced covers BOMs, MRP and work orders but relies on QuickBooks for accounting. Odoo 20 runs manufacturing, quality, PLM and accounting in one database.

Does Fishbowl work with QuickBooks Online?

+

Yes. Fishbowl lists QuickBooks Online Plus and Advanced, plus QuickBooks Desktop 2021 to 2024. The link maps invoices, bills, journal entries and inventory values on a schedule; sales and purchase orders do not transfer directly.

How much does Fishbowl cost?

+

Fishbowl's cloud inventory plans list $229, $429 and $729 a month billed annually, without manufacturing. Advanced Manufacturing starts at $675 a month, is confirmed by quote, and needs an implementation package Fishbowl does not price publicly.

Is QuickBooks Desktop being discontinued?

+

Not entirely. Intuit stopped selling new Desktop Pro Plus, Premier Plus and Mac Plus subscriptions in the US after September 30, 2024. Desktop Enterprise is still sold, and Desktop 2023 lost support after May 31, 2026.

Can QuickBooks handle manufacturing on its own?

+

Only lightly. QuickBooks Online tracks inventory on Plus and Advanced, but Intuit's plan pages do not list bills of materials or work orders. That gap is why many manufacturers add Fishbowl.

Can Odoo replace both QuickBooks and Fishbowl?

+

Yes. Odoo Accounting replaces QuickBooks, while Inventory, Manufacturing, Quality and PLM replace Fishbowl. Everything shares one database, so there is no export to schedule or reconcile.

How long does a move from QuickBooks and Fishbowl to Odoo take?

+

On our published ranges, small firms take 4 to 8 weeks and mid-size firms 8 to 14 weeks. Routings, integrations and years of history add time, so plan a short parallel run.

Which Odoo plan do manufacturers need?

+

Standard includes every app, including Manufacturing, Quality and PLM, at US$31.10 per user a month billed yearly. Choose Custom at US$61.00 for Studio, several companies, the external API, or Odoo.sh and on-premise hosting.
