Odoo Raw Material Shortage: Reorder Rules, Safety Stock, MRP Alerts cover

Material shortages rarely start in the warehouse. They start when Odoo is told the wrong lead time, or a rule watches the wrong location. Our Odoo consulting services begin with a replenishment review that finds those gaps before they stop production.

This guide is for planners, buyers and operations heads in manufacturing on Odoo 19 or Odoo 20. It focuses on preventing shortages. For how to choose an ERP for a plant in the first place, read our guide to ERP for manufacturing.

Why do raw material shortages hit manufacturers running Odoo?

Raw material shortages in Odoo usually come from planning data that does not match reality, not from the software itself. Odoo plans only with the numbers you give it.

The three shortage types we see most are slow suppliers, demand spikes and hidden stock. A supplier quotes 10 days and delivers in 25. A big order lands without warning. Or stock exists, but in a location the rule does not watch.

The cost is idle work centers, split deliveries and air freight. If your bills of materials and routings are still unstable, fix them first with our Odoo BOM and production planning guide.

Which Odoo tools prevent raw material shortages?

Odoo prevents shortages with five connected tools: reordering rules, lead times, the replenishment report, the Master Production Schedule and forecast views. Each one answers a different planning question.

How do Odoo reordering rules work for raw materials?

Odoo reordering rules keep forecasted stock between a Min and a Max for each product and location, then create an RFQ or a manufacturing order when the forecast falls below Min. The route decides which document Odoo creates.

Per the Odoo 20 reordering rules documentation, a Buy route creates an RFQ for the top vendor on the product's vendor list, and a Manufacture route creates an MO. Both need the product set as Goods with Track Inventory ticked.

The setup that matters for raw materials:

  • Trigger: Auto creates orders when the scheduler runs or a sales order lowers the forecast below Min; Manual lists the need on the replenishment report for a buyer to approve.
  • Location: the rule watches one location, so it must match where production takes components from.
  • Vendor: pick the preferred vendor per rule when several supply the same item.
  • Multiple: round orders up to the vendor's pack size, such as cases of 6.
  • Scheduler: it runs once a day by default, so same-day shortages need a confirmed order or a manual run.

For components consumed by MOs, this is how Odoo reordering rules and MRP work together. A confirmed MO lowers the component forecast, and the rule refills it.

How do you set safety stock in Odoo?

In Odoo, safety stock is the part of a reordering rule's Min that sits above expected demand during the lead time. There is no separate safety stock field on the rule, so you build it into Min.

A common planning formula, not an Odoo field, is: Min = average daily usage x lead time in days + safety stock. Set Max as Min plus the quantity you want to buy in one go.

Illustrative example: a resin is used at 40 kg a day, the vendor lead time is 12 days, and you want 5 days of cover for delays. Lead-time demand is 480 kg, safety stock is 200 kg, so Min is 680 kg. With a 1,000 kg order size, Max is 1,680 kg.

Odoo 20 can do this math for you. In the replenishment report, select rules and click Suggest, then pick a demand period and a percentage factor. Odoo computes daily demand and sets new Min and Max, as our Odoo 20 Inventory release notes show.

For planned production, the Master Production Schedule has its own Safety Stock Target per product. It suggests the replenishment needed to keep that level in every period, after forecast and indirect component demand.

How do supplier lead times drive Odoo MRP dates?

Odoo works backward from the delivery date using lead times, so every wrong lead time moves an order to the wrong day. This is the most common cause of late components we find.

The Odoo lead times documentation lists the values that set dates:

Lead timeWhere you set itWhat it changes
Vendor lead timeProduct, Purchase tab, vendor lineDays from PO confirmation to receipt
Days to purchaseInventory settings, Advanced SchedulingDays a vendor needs to confirm an RFQ
Manufacturing lead timeBoM, Miscellaneous tabDays to complete an MO
Days to prepare MOBoM, Miscellaneous tab, ComputeDays to gather components
Sales security lead timeInventory settingsShips earlier than promised as a buffer

Odoo counts lead times in calendar days, and its docs note they do not consider weekends, holidays or work center capacity. Add a buffer for long holiday periods.

Keep the Odoo supplier lead time honest. Use the actual average from recent receipts, not the quote. In Odoo 20, buyers can move a PO's Expected Arrival while a new Promised Date keeps the original date, so vendor on-time rates stay accurate.

What are Odoo MRP shortage alerts and where do you see them?

Odoo MRP shortage alerts are the views that flag missing components before an MO starts, from the replenishment report to the MO Overview. Odoo has no single alarm, so planners need a daily routine across these screens.

  1. Replenishment report: the To Reorder filter lists every need whose forecast falls below Min within the lead time window.
  2. Forecasted report: on a product, it shows future stock by date and when it turns negative.
  3. BoM Overview with Forecast: in Odoo 20, one Status column shows Available, To Buy or an estimated date per line.
  4. MO Overview: Odoo 20 adds a To Replenish toggle that hides lines already covered.
  5. MO Kanban: Odoo 20 cards show component status, work center and deadline, grouped by week.
  6. Purchase dashboard: a Late box lists POs past their Expected Arrival.

Horizon days widen the window. Per the Odoo replenishment report documentation, they make manual rules show needs earlier, so buyers can group orders by vendor.

Reordering rules, MTO or MPS: which replenishment method fits?

Use reordering rules for steady components, Replenish on Order (MTO) for one-off items and the MPS for long-lead or high-value materials you plan by week. Most plants mix all three.

MethodBest forWatch out for
Auto reordering ruleFasteners, packaging, steady raw materialsWrong Min floods you with RFQs
Manual reordering ruleCostly or volatile materialsNeeds a buyer checking daily
0/0/1 ruleItems bought only when ordered, not reservedNo link back to the sales order
Replenish on Order (MTO)Custom parts tied to one orderStock is reserved for that order only
Master Production ScheduleLong lead items, seasonal demandDo not add reordering rules to MPS products

The MPS warning comes from Odoo itself: rules on MPS products create inaccurate forecasts and extra orders.

Odoo 20 adds an Auto Confirm Production option on the Manufacturing operation type. Untick it and replenishment creates draft MOs, so planners can review them before components are reserved, per our Odoo 20 Manufacturing release notes.

How do you handle a supply chain disruption in Odoo manufacturing?

When a supplier fails, use Odoo to see the impact, find alternatives and protect the most important orders. This Odoo supply chain disruption manufacturing playbook takes hours, not weeks.

  1. Size the gap: open the component's forecasted report to see which MOs and dates are hit.
  2. Find other sources: create alternative RFQs and compare lines; Odoo 20 converts units so pack and unit prices compare fairly.
  3. Swap components: use the Used In button on the component to change it across many BoMs at once in Odoo 20.
  4. Move stock: if another warehouse has stock, the Replenishment Information pop-up lists it and creates the transfer.
  5. Reschedule: move MO dates for low-priority orders and tell customers early.
  6. Raise buffers: after the event, raise Min and lead times for that supplier, then lower them once deliveries recover.

Which setup mistakes hide shortages in Odoo?

Most hidden shortages come from a handful of setup mistakes that make the forecast look healthier than it is. Check these before you buy more stock.

  • Location mismatch: one Odoo user found automatic rules not triggering for raw materials after moving components to a new location the rules did not watch.
  • Kit BoMs: a kit cannot have a reordering rule; put rules on its components instead.
  • Zero lead times: orders are created on the day of need, too late to arrive.
  • No vendor line: a Buy rule cannot pick a vendor without one on the vendor list.
  • Stale counts: if on-hand stock is wrong, every forecast is wrong too.

We list the wider causes of failed plant rollouts in why Odoo implementations fail in manufacturing.

Raw material shortage risk by industry

Shortage risk depends on what you make: long-lead imports, perishable inputs and single-source parts each need a different Odoo setup. The table shows the usual pattern.

Raw material shortage case study: KMF Technologies

An IT services and hardware distributor in The Gambia ended stock-outs caused by manual tracking by moving purchasing and stock into Odoo. It shows the same root cause many plants face: no live view of stock.

KMF Technologies tracked products and categories by hand. It had no real-time stock view, which led to overstocking and stock-outs, and its sales, purchase and store teams could not see each other's data.

We configured Odoo Sales, Purchase, Inventory and Accounting, defined warehouses, stock locations and units of measure, and added fields for supplier information. The full product master moved with cost and sale prices, in a phased 8-week rollout.

KMF now runs an integrated purchase-to-delivery workflow with live stock across warehouses, which ended the guesswork behind ordering. Read the KMF Technologies Odoo inventory case study.

The bottom line on Odoo raw material shortage prevention

Odoo has the tools to prevent most raw material shortages, but only when rules, locations and lead times match how your plant really works. Get the data right before you add stock.

Start with one product family. Measure real lead times, set Min with a clear safety stock, pick one replenishment method per item, and give planners a daily alert routine. Then extend it across the plant.

Frequently Asked Questions

How do I prevent raw material shortages in Odoo?

+

Set reordering rules on every stocked component at the location production uses, enter real vendor lead times, and build safety stock into each rule's Min. Then review the replenishment report and forecasts every day.

What is a reordering rule in Odoo?

+

It is a Min and Max quantity for a product at a location. When forecasted stock falls below Min, Odoo creates an RFQ or a manufacturing order to bring stock back up to Max, automatically or after a buyer approves it.

Does Odoo have a safety stock field?

+

Not on reordering rules. You include safety stock in the Min quantity. The Master Production Schedule does have a Safety Stock Target per product that it keeps in every planning period.

Why is my Odoo reordering rule not triggering?

+

Common causes are a rule on a different location than production uses, a forecast still above Min, no vendor on the product, or the daily scheduler not having run yet. Kit products cannot have rules at all.

How does Odoo calculate when to order raw materials?

+

Odoo works backward from the needed date using vendor lead time, days to purchase and manufacturing lead time. Horizon days can bring needs onto the replenishment report earlier.

Can Odoo suggest Min and Max quantities?

+

Yes, in Odoo 20. Select rules in the replenishment report and click Suggest, choose a demand period and a percentage factor, and Odoo sets new Min and Max values from demand history.

Should I use reordering rules or the MPS?

+

Use reordering rules for steady, short-lead components and the MPS for long-lead or seasonal items planned by week. Do not put reordering rules on products managed in the MPS, as Odoo warns this distorts forecasts.

Where do I see component shortages for a manufacturing order?

+

Open the MO and click Overview to see each component's status. In Odoo 20, the To Replenish toggle hides lines that are already covered, and MO Kanban cards show component status.
