Odoo 20 Use Cases by Department: What to Automate First and KPIs
Odoo 20 use cases by department: what to automate first in sales, finance, stock, manufacturing and services, with apps, KPIs and a 90-day rollout plan.
Most lists of Odoo use cases name ten apps and stop. The harder question is what to automate first and how to prove it paid off. Our Odoo consulting services start with exactly that ranking.
This guide is for owners, finance leads and operations managers planning or tidying up an Odoo 20 rollout. It covers process automation; for AI agents, see our guide to Odoo AI use cases.
What are the best Odoo 20 use cases to automate first?
The best Odoo 20 use cases to automate first are frequent, rule-based tasks where a delay costs money, and where one person owns the outcome. Score each candidate before you build anything.
A process that passes four or five of these tests is a good first candidate.
- Volume: it happens many times a week, not once a quarter.
- Rules: you can write the rule down, such as "assign web leads in rotation" or "match payments within 2%".
- Data: the fields it needs, such as product, vendor or payment terms, are already clean.
- Owner: one person is accountable for the result and will check it.
- Measure: you can count the before and after within 30 to 90 days.
Most first waves land on lead assignment, bank matching, bill checks, payment reminders and reordering. These workflow automation wins touch cash, so payback is easy to see.
Our post on Odoo ROI with a baseline and KPIs shows how to record the baseline first.
Odoo 20 use cases by department: apps and KPIs at a glance

Each department has one or two Odoo 20 automation use cases that pay back fastest, and each comes with a KPI you can track from day one. The table sums them up.
| Department | First use case | Odoo apps | KPI to track |
|---|---|---|---|
| Sales and CRM | Lead routing and follow-up activities | CRM, Sales | Lead response time, win rate |
| Finance | Bank and bill matching, payment reminders | Accounting | Days to close, overdue receivables |
| Purchasing | Bill to purchase order matching | Purchase, Accounting | Bills with price or quantity gaps |
| Inventory | Reordering rules with suggested levels | Inventory, Purchase | Stock-outs, stock accuracy |
| Manufacturing | ASAP planning, lots created at closing | Manufacturing, Inventory | On-time orders, scrap rate |
| Services and HR | Timesheet billing, expense limits | Timesheets, Expenses | Days from timesheet to invoice |
The full list of changes behind these features is on our Odoo 20 release notes, app by app, with screenshots from a live Odoo 20 database.
Sales and CRM: which Odoo 20 automation use cases come first?
In sales, automate lead assignment and follow-up activities first, because slow replies lose deals before anyone notices. Odoo 20 adds new controls for both.
Odoo CRM can assign leads automatically using predictive lead scoring, which learns from won and lost deals. In Odoo 20, each salesperson can be set to "Always in rotation", "In rotation, with a limit" or "Out of rotation".
The limit lets you cap a new hire at a set number of leads per 30 days, so leads do not pile up.
In Odoo 20 you can also assign an activity to a role, such as "Sales Team", and whoever picks it up clicks Assign.
- Automate: lead assignment by rotation, a follow-up call two days after a quote is sent, a reminder before a quote expires.
- Measure: lead response time, quotes followed up within 48 hours, win rate by source.
- Watch: too many pipeline stages, and automatic emails that feel spammy to buyers.
Finance: how does Odoo 20 automate bank matching, bills and reminders?
Finance gets the biggest Odoo 20 automation gains in bank reconciliation, vendor bill checks and payment reminders.
Odoo 20 adds a Matching Rules menu in Accounting. You set a payment tolerance, as a percentage or an amount, and a matching order, oldest or newest first. Payments that fall inside the tolerance match their invoices automatically. Run Auto Reconciliation re-runs the matching on demand.
Bill to purchase order matching is also clearer. Auto-Complete first matches existing bill lines to PO lines, and each line warns you when the price or quantity differs from the order.
For collections, Odoo's follow-up levels send reminders by email, SMS, WhatsApp or post. In Odoo 20, reminders work per invoice, with a Send Reminder button and a Last Reminder date.
- Measure: share of bank lines matched automatically, days to close the month, overdue receivables over 60 days.
- Watch: a tolerance set too wide, which hides real short payments.

Purchasing and inventory: which use cases cut stock-outs?
For purchasing and inventory, automate reordering first, then let Odoo flag bills that do not match the order.
Odoo's reordering rules create orders when forecast stock falls below a minimum.
Odoo 20 helps. In Replenishment, select rules and click Suggest. Odoo looks at demand over a period you choose, such as the last 30 days, and sets new min and max levels from the days of coverage and order frequency you want.
Odoo 20 also adds a stock aging report in Moves Analysis, so you can see how old the stock on your shelves is.
- Clean the product master: vendors, lead times, units and costs.
- Set reordering rules on your fast movers first, then use Suggest to tune them.
- Review the replenishment list daily for two weeks before you trust it.
- Track stock-outs, purchase orders raised by rules and inventory value by age.
Manufacturing: what can Odoo 20 automate on the shop floor?
In manufacturing, automate planning and traceability first, and leave complex routing changes for a later wave. Odoo 20 removes several manual steps from manufacturing orders.
Manufacturing orders are now planned as soon as possible by default, and when several are planned together, their order in the list sets the priority. When you close an order for a lot or serial tracked product without entering a number, Odoo 20 creates the lot or serial number for you.
That matters for food, chemicals and medical goods, where a missing lot breaks recall tracing.
- Measure: orders completed on time, scrap rate, component shortages per week.
- Watch: bills of materials that change without control, and operators skipping data capture on the shop floor.
Projects, services and HR: which Odoo use cases save admin time?
For service teams and HR, automate timesheet-to-invoice billing and expense approvals first.
Billing from timesheets is the classic service use case: invoices come from logged hours, not a spreadsheet. Our Enabl Health case study below shows this with weekday, weekend and holiday rates.
In Odoo 20 Expenses, each expense category can carry a maximum amount per job position. The employee sees a warning, and the approver gets a Cap Reimbursement to Policy button that splits off the part above the limit.
HR onboarding gets easier too. In Odoo 20, an automation rule's Create Activity action can launch a whole activity plan, such as Onboarding, for several people at once.
- Measure: days from timesheet to invoice, unbilled hours at month end, expense approval time.
How do Odoo 20 automation rules work, and where do they fail?
Odoo 20 automation rules run one or more actions when a trigger fires, and they fail most often because the trigger does not match how the record really changes. Test every rule with real flows, not only manual records.
Odoo's automation rules documentation lists five trigger groups: values updated, email events, timing conditions, custom triggers and external webhooks.
In Odoo 20, a rule can also hand the work to an AI agent with written instructions. Odoo 20 AI runs on Odoo AI IAP credits, listed at EUR 1 per credit on Odoo's IAP page, so budget for usage before you route volume through an agent.
Real users hit the trigger trap. On the Odoo forum, one company's automation rule did not fire on manufacturing orders created through the website, though manual orders worked.
The suggested fixes were a state-based trigger or a scheduled action.
Upgrading teams should note one removal. In Odoo 20, activity types no longer trigger a next activity automatically, so use an activity plan or a server action.
Studio, used to build rules without code, is part of the Custom plan on the Odoo pricing page.
When a rule needs Python, compare the options in our guide to Odoo Studio vs custom development.
Odoo use cases by industry: where should each sector start?
The right first use case depends on what drives cost in your industry, not on which app looks most impressive. The table shows where we usually start.
| Industry | Pain or cost driver | Odoo approach | How iVentureTeam helps |
|---|---|---|---|
| Distribution and trading | Stock-outs and dead stock | Reordering rules with suggested levels, aging report | Set rules on fast movers, tune monthly |
| Manufacturing | Late orders, missing lots | ASAP planning, lots created at order closing | Map BOMs and routings before automating |
| Professional services | Unbilled hours | Timesheet billing, follow-up activities | Set rate rules and billing cycles |
| Healthcare technology | Rate-heavy billing, portal access | Timesheet rules, mobile portals | Automate day-type rates, build portals |
| eCommerce and retail | Order volume and payment matching | Bank matching rules, stock rules | Connect channels, set tolerances |
| IT and hardware resellers | No live stock across teams | Sales, Purchase and Inventory in one flow | Phased rollout with training |
A phased rollout plan for Odoo 20 automation
Roll out Odoo 20 automation in three waves, each with its own KPIs, rather than switching everything on at go-live.
- Weeks 0 to 2, baseline: record today's numbers for each chosen use case, such as hours spent on bank matching or average lead response time.
- Weeks 2 to 6, wave 1 (revenue and cash): lead assignment, quote follow-ups, bank matching rules, payment reminders.
- Weeks 6 to 10, wave 2 (operations): bill to PO matching, reordering rules, expense limits.
- Weeks 10 to 13, wave 3 (production and services): manufacturing planning, lot rules, timesheet billing, onboarding plans.
- Every month after: review the KPIs, switch off rules nobody trusts and add the next use case.
The weeks are illustrative; your timeline depends on data quality and scope. Our published Odoo implementation cost ranges run from $3k to $9k for small projects (4 to 8 weeks) to $9k to $27k for mid-size ones (8 to 14 weeks).
Already live on Odoo 20? Most of these use cases are configuration, not new code, so a wave can run inside a normal support contract. Check what else changed in our list of things to know before using Odoo 20.

Odoo 20 use cases case study: Enabl Health
An Australian health-tech company turned manual time tracking and rate lookups into automated, rate-aware invoicing in Odoo. Enabl Health equips independent health professionals with tools to run their practices.
Invoices had to reflect different rates for weekdays, weekends and holidays, but work hours were tracked with manual start and stop times. The doctor and patient portals were not built for mobile.
We cleaned data across sales, timesheets, invoices, payslips and users, then automated timesheet classification by day type to set the billing rate per entry. Timers now calculate time, and invoice lines map to day-type rates. Delivery took 10 weeks.
Invoices are now generated from timesheet rates without manual rate lookups, and doctors and patients edit timesheets and upload documents on their phones.

The bottom line on Odoo 20 use cases
Automate the few processes that touch cash every day, prove the gain with one KPI each, then expand. Odoo 20 makes the first wave easier with matching rules, suggested reorder levels and role-based activities.
Pick two or three use cases, record a baseline, use standard features before custom code and review the numbers after 30 days.

Frequently Asked Questions
What are the most common Odoo 20 use cases?
+
The most common are lead assignment and follow-ups in CRM, bank and bill matching in Accounting, payment reminders, reordering rules in Inventory, manufacturing planning and timesheet billing for service teams.
What should I automate first in Odoo?
+
Start with frequent, rule-based tasks that affect cash, such as bank matching, vendor bill checks, payment reminders and lead assignment. Pick two or three, record a baseline, then add more after 30 days.
What are automation rules in Odoo 20?
+
Automation rules run actions when a trigger fires, such as a field change, an email, a date or a webhook. In Odoo 20, a rule can also launch a whole activity plan or pass the task to an AI agent.
Do I need Odoo Studio to create automation rules?
+
Studio is the no-code way to build automation rules, and it is part of the Custom plan. Rules can also be created in developer mode, and complex logic can be written as a custom module.
Does Odoo 20 automation need AI credits?
+
Standard automation rules, matching rules and reordering rules do not use AI. Rules that call an AI agent use Odoo AI IAP credits, listed at EUR 1 per credit, so budget for the volume you route through them.
Which KPIs should I track for Odoo automation?
+
Track one or two numbers per use case: lead response time, share of bank lines matched automatically, days to close, stock-outs, orders completed on time and days from timesheet to invoice.
How long does it take to roll out Odoo 20 automation?
+
A three-wave rollout of core use cases often takes around 90 days, depending on data quality and scope. Most first-wave use cases are configuration, so they can start within weeks of go-live.
Why is my Odoo automation rule not triggering?
+
Usually the trigger does not match how the record changes, for example when a background flow creates and confirms a record in one step. Use a state-based trigger or a scheduled action, and check the logs.
