What is a Light User in Odoo 20?

A Light User is a user type in Odoo 20 for people who use Odoo for their own tasks, not to run the business. Odoo's Enterprise agreement defines two kinds of Light User.

Odoo's Enterprise Subscription Agreement, version 13, defines a Light User as "any user account indicated as active and designated as a 'Light User' in the Software, or any active employee record (from the human resources App) not linked to an active non-portal user account."

In plain words, there are two kinds:

  • A Light login: a person with a login whose access rights all sit inside Odoo's Light list.

  • An employee record without a full login: a person who exists in the Employees app but has no full Odoo user account.

So what is a Light User in Odoo, from a cost point of view? It is anyone in either group, and both are billed at the Light User price on Odoo Enterprise.

What can an Odoo Light User do, and what can't they?

A Light User can handle their own HR tasks and simple front-line work, but cannot run sales, purchasing, projects or accounting. Odoo's pricing page lists exactly what is included.

Odoo groups these as tasks "as users" and tasks "as employees." The second group covers people who work in Point of Sale or on the shop floor through an employee session rather than a full login.

Which tasks still need a full Odoo User?

Three common jobs fall outside the Light list, so the people doing them need a full User licence. These are the ones businesses most often get wrong.

  • Approving time off: in the Odoo 20 code, only the employee level of Time Off counts as Light. A team lead who approves leave needs a full User.

  • Logging project timesheets: timesheets are not on Odoo's Light User list. Staff who log billable hours will usually need a full User.

  • Sales, purchasing and stock control: creating quotes, raising purchase orders or editing products all need a full User.

This matters most for services firms. If most of your team logs timesheets, Light Users will save you far less than the headlines suggest.

How much does an Odoo Light User cost?

These Odoo pricing per user figures come from Odoo's pricing page and Odoo's own launch announcement. The first-year discount on full users lasts 12 months, for the users you order at the start.

Odoo enterprise pricing per user also depends on how you buy. Odoo's pricing page says you get Light User licences by meeting an Odoo Advisor, who gives you a customized quote.

Can a small business get Light Users? Odoo publishes no minimum number of users. A Reddit thread from a company with 5 assembly staff asked exactly this. Ask your Odoo Advisor and get the answer in writing.

Ignore other numbers you see online. We have seen US$5.90 in a LinkedIn post and US$2.90 in a forum reply. Use the price on official Odoo's pricing page for your own country.

Who counts as a Light User? Employees without a login

Who counts as an Odoo Light User?

Every active employee record that is not linked to a full Odoo login counts as an Odoo Light User. This is the rule that surprises most owners.

Odoo's pricing page defines a paying user as someone with backend access "or an employee (record in hr application) who has no linked user." Customers and suppliers on the portal stay free.

Can a portal login or a custom module avoid the charge? Not any more. Some businesses built portal-based leave requests to avoid paying for logins. Under Odoo 20's definition, an employee linked only to a portal login still counts as a Light User.

Why can an Odoo Light User suddenly become a full User?

Odoo works out each person's role from their access rights, so one extra right turns a Light User into a full User. This is why some owners fear Light Users "becoming heavy."

In the Odoo 20 code, the Role field is calculated every time access rights change. If every right sits on the Light list, the role reads Light. If even one does not, such as Sales set to "own documents," the role becomes User.

Switching the role back to Light removes the rights that do not fit. That protects your bill, but the person loses that access. Check roles every time someone changes job.

What do Light Users mean for existing Odoo customers at renewal?

For many existing customers, Light Users add cost, because employee records that were free before can now be billed. Partners on Reddit call this the hard part of the change.

Odoo's agreement adds four rules that matter at renewal:

  • Notify Odoo: you must tell Odoo "immediately" when your Users or Light Users go above your contracted numbers.

  • List price for extras: extra Users or Light Users are charged at the list price on the day you go over, for the rest of your term.

  • Renewal increase: renewal prices can rise by up to 7% a year when you are below list price.

  • Counting is automatic: Odoo's software reports your number of Users and Light Users to Odoo.

A Reddit thread about a company asked to "pay for 13 users or face backdated fees" shows how this plays out. Count your users and employee records before Odoo does.

Is this a rug pull, and should you leave Odoo? One Reddit thread calling Odoo "corpo garbage" drew 89 comments. The honest answer: Light Users cost more for some and less for others. Run the numbers for your own team before you decide anything.

Can staying on Odoo 19 avoid Light User charges?

Possibly for now, but it is not a safe long-term plan. Odoo's definition starts with "where supported by the Customer's version of the Software," and the Light role is new in Odoo 20.

Some partners read that as older versions not counting employee records the same way. Odoo has not published a clear answer, so get it in writing from your Odoo Advisor.

Odoo user types now come in three paid and free levels, and each person should sit in the cheapest one that covers their job. Getting this right is where the savings come from.

An Odoo paying user is anyone in the first two rows. The Odoo portal user stays free, but only for people who are not your employees.

How much can Odoo Light Users save, or cost, your business?

Light Users save the most where many staff do simple work, and cost more where employees were free before. These examples use Odoo's India list prices from year two, before GST.

A 40-person factory: 8 office staff need full Users and 32 operators use the shop floor and attendance kiosk.

  • If all 40 had full logins: 40 × Rs 725 = Rs 29,000 a month.

  • With Light Users: 8 × Rs 725 + 32 × Rs 195 = Rs 12,040 a month, a saving of Rs 16,960.

  • If the 32 operators were only employee records before: the bill rises from Rs 5,800 to Rs 12,040 a month.

A 6-store retailer: 10 managers and office staff need full Users, and 45 cashiers only use Point of Sale.

  • All full Users: 55 × Rs 725 = Rs 39,875 a month.

  • With Light Users: 10 × Rs 725 + 45 × Rs 195 = Rs 16,025 a month.

A 60-person services firm: 50 staff log timesheets, so they stay full Users, and 10 only need self-service.

  • All full Users: 60 × Rs 725 = Rs 43,500 a month.

  • With Light Users: 50 × Rs 725 + 10 × Rs 195 = Rs 38,200 a month, a smaller saving.

How to set up an Odoo Light User in Odoo 20

You set a Light User from the user form in four steps, then check the role did not change. The setting lives under Settings, Users.

  1. Go to Settings, then Users, and open the person or create a new user.

  2. On the Access Rights tab, set Role to Light.

  3. Give only rights on the Light list, such as Time Off, Attendances or Point of Sale.

  4. Save, reopen the user and confirm the role still reads Light.

Odoo Community has the same Role field. There it only limits access, because Community has no user licence. Changes to employee self-service are listed in our Odoo 20 Employees release notes.
