One source of truth: Odoo and WebPOS synced for restaurant ops

The challenge

Ajwan's restaurant client ran front-of-house on WebPOS and back office on Odoo — two systems that did not talk. Menus, prices, and discounts were maintained twice, branch data drifted apart, and finance rebuilt sales reports from till exports instead of the ERP.

  • Menu items, combos, and price changes re-entered manually in WebPOS after every Odoo update.
  • No consolidated view of bills, items, and payments across branches inside Odoo.
  • Combo meals had no clean product structure, breaking inventory deduction.
  • Customer records and discounts diverged between the two platforms.

Our approach

iVentureTeam designed a bidirectional integration: Odoo as the master for catalog and configuration, WebPOS as the source of transactions, connected through custom RESTful APIs.

Master data: Odoo → WebPOS

  • Synced main groups, sub groups, and menu items so category trees match on every till.
  • Modeled combo meals as kit-type BoMs in Odoo, transferring them to WebPOS as sellable combos.
  • Pushed payment types, discounts, order sources, store/branch records, user accounts with access rights, and customer data with addresses.

Transactions: WebPOS → Odoo

  • Bill-wise sales transfer with date, customer, amount, and status per order.
  • Line-level detail — product ID, quantity, price, and discount — for margin analysis.
  • Payment records including type, amount, and card details for accurate financial reporting.

Integration engineering

  • Custom Odoo modules with field-level mapping between the two data models.
  • RESTful API design plus scheduled synchronization and error handling for reliable exchange.

Outcomes

The restaurant group now operates on one consistent dataset: what the tills sell is what the ERP reports, branch by branch.

  • Orders, inventory, and sales reconcile in real time across all branches.
  • Finance reads consolidated sales directly from Odoo instead of till exports.
  • New menu items, prices, and discounts reach every branch from a single Odoo update.

Odoo and our WebPOS finally agree with each other. Sales, stock, and menus sync both ways, and end-of-day reconciliation takes minutes.
